Position: Educational Travel Project Manager The National World War II Museum
Location: New Orleans

The National WWII Museum is currently seeking an Educational Travel Project Manager. The Educational Travel Project Manager plays a key role in supporting the operational and logistical needs of the Museum’s Educational Travel programs. This position manages a variety of projects assigned by leadership, maintains accurate program documentation, and ensures the timely production of guest materials and operational resources. The role also supports travel logistics for featured speakers and staff, assists with vendor and financial processes, and collaborates closely with the Operations team.

With a focus on organization, accuracy, and cross-departmental coordination, the Educational Travel Project Manager helps ensure the administrative planning and completion of all educational travel tours.

The Educational Travel Project Manager will report to the AVP of Educational Travel and work closely with the Senior Director of Educational Travel to ensure the department’s portfolio of deluxe educational travel programs are well positioned for success and continuing in being best-in-class travel program operations. The Educational Travel Project Manager must have a strong acumen for detail, keen focus on timeline management, and excellent organizational skills.

Requirements

  • Manage assigned projects from the AVP and Senior Director, including contract routing and operational justifications.
  • Maintain and update rooming lists as bookings, cancellations, and itinerary changes occur.
  • Oversee production timelines for reading lists, guidebooks, and related materials; initiate marketing and communications requests with AVP approval.
  • Update and maintain accurate itineraries for educational travel programs in Europe and the Pacific.
  • Prepare essential tour documentation, including museum vouchers, menu sheets, and vendor contact information.
  • Coordinate travel logistics with the AVP for featured speakers, contracted guests, and Museum staff, including booking arrangements, purchase orders, and supporting documents.
  • Assist the Operations Team with expense reports and receipt management during the travel season.
  • Ensure timely and accurate production of pre-departure documents and guest materials; submit orders for badges, luggage tags, and tour equipment.
  • Process new vendor requests and purchase orders; support leadership in reviewing contracted staff receipts in accordance with established timelines.
  • Provide in-house operational support to the Operations Team and assist with the coordination and execution of educational travel tours.
  • Perform additional duties and special projects as assigned.

Qualifications

  • Bachelor’s degree with a minimum of one year demonstrated success in operations management. Experience in hospitality or events is required. This is not a remote nor travel position.
  • Proven track record of operations management and program execution.
  • Excellent communications and interpersonal skills and abilities – verbal, written, and computer.
  • Highly organized and has effective time management skills with evidence of entrepreneurial qualities.
  • Willingness to have a flexible schedule and to work irregular hours that go beyond a 40-hour week including some weekends and evenings here in New Orleans.
  • Ability to push, pull, and lift up to 50 pounds. May require prolonged standing and/or walking during which time objects are transported. May require bending, squatting, or reaching, and occasional use of equipment.
