Overview The New Orleans Client Experience Manager (Ops Manager) is a key member of DBE Artists’ operations team, responsible for overseeing the entire client journey - from aiding in custom proposal creation during the initial sales process through event execution - for our two New Orleans-based entertainment products.

Responsibilities

The role bridges the gap between sales, operations, and performance teams to ensure a seamless, high-touch experience for both clients and performers. The Client Experience Manager will guide agents in the booking phase, and the clients through every step of planning their entertainment, coordinating and communicating all event details to band members, and ensuring exceptional delivery on event day.

  • Assist East Coast agents with creating custom proposals to aid in sales.
  • Accurately bid New Orleans based products based on client needs and event scope.

Client Communication & Experience Management

  • Work with NOLA Band Founder & Show Producer to ensure each event is executed according to client desires.
  • Act as the primary client contact after booking through the day of the event.
  • Conduct an initial “vibe check” call to understand musical preferences and event vision after booking.
  • Discuss and negotiate song requests and other performance-related preferences directly with clients. Ensure all client questionnaires and planning documents are completed on time.
  • Maintain detailed communication logs and notes in the CRM for all client interactions.
  • Conduct a final details review call with each client prior to the event to confirm all logistics and expectations.
  • Hold weekly meetings with the NOLA Band Founder & Show Producer to review special requests, logistics, and upcoming events.

Event Operations & Logistics

  • Create and distribute staff schedules for band members and technicians for each performance.
  • Coordinate costuming, talent add-ons (ceremony musicians, dancers, DJs, etc.), and other creative needs.
  • Collaborate with the DBE Artists Travel Agent to collect necessary travel information (IDs, passports, DOBs, legal names) for fly dates.
  • Collaborate with DBE Artists Operations Specialist on set list creation for NOLA bands based on client communication, song preferences, and Do Not Play lists.
  • Collect set lists, travel itineraries, and performance notes from relevant team members.
  • Compile and send weekly informational packets for each event through Band CRM, consolidating all necessary details for the band.
  • Ensure all rider needs are met for each event.
  • Attend weekly ramp-up calls to ensure all upcoming events are fully prepared and coordinated.
  • Maintain and complete all assigned tasks on the CRM task board weekly.
  • Be the on site Production Assistant for up to 30 events per year maintaining position as main client and band point of contact.
Qualifications
  • Minimum 3 years of experience in the event or entertainment industry (required).
  • Proven background in client relationship management (required).
  • Strong organizational and time-management skills, with the ability to manage multiple events and deadlines simultaneously.
  • Excellent verbal and written communication skills with a client-first mindset.
  • Ability to collaborate effectively with creative, technical, and administrative teams.
  • Experience using CRM systems (e.g., Dubsado) and event logistics software.
  • Background in music, live performance, or production preferred but not required.
  • Must reside within one hour of New Orleans, LA.
  • Confident communicator and natural relationship builder.
  • Exceptionally detail-oriented and proactive problem solver.
  • Calm under pressure and adaptable in a live-event environment.
  • Passionate about live entertainment, music, and creating memorable experiences.
