Position Summary
The Office Services Coordinator provides on-site facilities, administrative, and general office support for the New Orleans office. This role serves as a key point of contact for employees, visitors, vendors, and facilities partners, ensuring a professional, efficient, and customer‑focused office environment.
Key Responsibilities
- Provide day‑to‑day facilities and office support to ensure smooth office operations
- Greet visitors, vendors, answer phones, and manage incoming deliveries
- Coordinate facilities requests such as maintenance, repairs, cleaning services, office moves, and space setups
- Act as liaison with vendors, building management, and internal facilities teams
- Support office services including mail distribution, supply ordering, inventory tracking, and equipment coordination
- Assist with conference room setup, meetings, and office events as needed
- Monitor office conditions and report issues related to safety, security, or functionality
- Maintain facilities documentation, logs, and reports using Microsoft Office tools
- Deliver excellent customer service by responding promptly and professionally to employee requests
- Provide administrative support to the Corporate Facilities Management team as assigned
Required Qualifications
- High school diploma or equivalent; additional education or certifications are a plus
- 2+ years of experience in facilities coordination, office administration, or a related support role preferred
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Excellent customer service, communication, and interpersonal skills
- Strong organizational skills with the ability to manage multiple tasks and priorities
- Ability to work independently while collaborating effectively with internal teams
- Professional demeanor with a high level of attention to detail
Preferred Skills and Attributes
- Experience supporting a front desk or reception function
- Familiarity with facilities management processes and vendor coordination
- Problem‑solving mindset with a proactive approach to office needs
- Ability to adapt in a fast‑paced office environment
- Full‑time onsite position based in the New Orleans office
- Standard office environment with light physical activity (standing, walking, lifting office supplies, including copy paper boxes.)
