Job Description
We are looking for an experienced and highly organized Accounts Payable and Payroll Specialist to manage the daily business activities and administrative tasks required to process multiple payrolls and invoices. The Accounts Payable and Payroll Specialist will be responsible for the accurate and timely processing of vendor invoices and payments, as well as the preparation and execution of employee payroll. This role ensures compliance with company policies and applicable laws, while maintaining accurate financial and employee records.
This position may require occasional overtime during payroll cycles or month-end closing.
- Review, verify, and process all vendor invoices for accuracy and proper approval.
- Match purchase orders and receiving documents to invoices.
- Prepare and process weekly check runs, ACH, and wire transfers.
- Reconcile accounts payable transactions and resolve discrepancies with vendors.
- Maintain vendor records and respond to inquiries promptly.
- Assist with month-end closing and AP accruals.
- Maintain organized and complete documentation for audit purposes.
- Process bi-weekly or semi-monthly payroll for all employees in compliance with federal, state, and local regulations.
- Review timecards and ensure hours, PTO, overtime, and deductions are accurate.
- Update payroll records for new hires, terminations, pay changes, and benefit deductions.
- Collaborate with HR to ensure employee data is current and accurate.
- Prepare and distribute W-2’s, 1099s, and other payroll tax documentation.
- Reconcile payroll reports and general ledger accounts.
- Address employee questions related to payroll, timekeeping, and deductions.
- Associate’s or Bachelor’s degree in Accounting, Finance or Business Administration; or 2-4 years of accounts payable and payroll experience in lieu of educational requirements.
- Proficiency in Paycom or other HRIS systems.
- Strong understanding of accounting functions and Payroll Laws.
- Strong knowledge of wage and hour compliance and IRS regulations.
- Excellent attention to detail;
Exceptional mathematical and calculation skills. - Practical experience with hourly, salaried, and union payroll.
- Ability to maintain confidentiality and exercise extreme discretion.
- Excellent problem-solving and communication skills.
- Experience with MS Office suite, especially the use of Excel.
- Excellent organizational and multitasking abilities.
- Relevant certifications in Payroll or Accounting are a plus!
