The Import Coordinator is responsible for playing a vital role in coordinating and managing the importation of goods, ensuring full compliance with U.S. Customs regulations, and optimizing supply chain processes for efficient and cost‑effective import operations. This role requires strong analytical and reporting skills, as well as experience handling high volumes of complex import documentation and billing activities. The Import Coordinator also manages tracking of overseas freight, internal compliance reporting, and communication with customs brokers, logistics providers, and internal stakeholders.

Job Duties and Responsibilities- Tracking-Track and monitor Ocean/Air freight to ensure timely delivery and accurate documentation.
- Ocean/Air Import Administration – Prepare and process import entry documentation either in-house or through external brokers, including accurate classification under HTS and compliance with U.S. Customs laws.
- Coordinate Ocean/Air Freight Deliveries – Arrange and coordinate transportation of shipments from port of entry to warehouse or customer facility.
- Effective Reporting – Analyze and revise GSP reports, ensure timely payment of duties, and maintain audit‑ready documentation.
- Shipment Status Reports – Provide daily updates and proactive communication to internal teams regarding shipment status.
- Import Data Reporting – Compile and analyze import data and key metrics; prepare detailed spreadsheets and reports for management and other divisions.
- Freight Invoice Administration – Review and validate freight invoices, particularly DHL shipments, for accuracy and adherence to agreed rates; provide rate quotes as needed.
- Billing – Create customs duty billing forms in Smart Border for submission to accounting; support billing accuracy and reconciliation.
- Problem‑Solving – Identify and resolve transportation, documentation, and compliance issues in a timely and efficient manner.
- Process Improvements – Identify opportunities to streamline import operations and eliminate unnecessary steps to enhance efficiency.
- Duty Drawback – Prepare and manage documentation for duty drawback programs.
- HQ Monthly Reports – Assemble and submit accurate monthly reports to headquarters, ensuring proper compliance documentation is included.
- Other – Perform related duties as required to support import operations.
- High school diploma or equivalent required; some college preferred.
- 5 + years of import/export compliance experience, with a strong understanding of international logistics and supply chain operations.
- Excellent knowledge of U.S Customs regulations, including CTPAT, ABI, GSP, FTA, and HTS classification.
- Experience with compliance audits, customs entry processing, and billing reconciliation.
- Strong analytical and reporting skills, including ability to compile, interpret, and present data clearly.
- Proficient in Microsoft Office (Word, Excel); experience with AS/400 or other import/export systems preferred.
- Excellent verbal, written, and interpersonal communication skills.
- Customs Broker License preferred but not required.
No Supervisory qualifications are required for this position.
Physical RequirementsA normal amount of sitting and standing, average mobility to move around an office, and ability to conduct a normal amount of work on a computer.
SalaryAt NMB, the pay band for this role is between $20.90/h and $31.34/h, and your base pay will depend on your skills, qualifications, experience, and location. The base pay is a part of our total compensation package and is determined within a range of the pay band process.
