Program Manager, Arleta at Advisa Care

Work Shift:

3:00 PM – 11:30 PM

All positions require a successful background check, live scan, and TB test.

Responsibilities And Initiatives
  • Oversee guest services quality by implementing and monitoring operational systems and procedures in accordance with company standards; coordinate and assign daily routines and coverages, and provide coaching and training as needed.
  • Develop, implement, and consistently monitor health and safety measures, including hazard communications, evacuation procedures, and incident management.
  • Collaborate with the LVN Nursing Manager to properly dispose of medical waste.
  • Coordinate with internal and external partners for special events held at the facility.
  • Conduct weekly site safety inspections and coordinate with the environmental service coordinator to ensure necessary repairs are completed.
  • Collaborate with the interdisciplinary team to coordinate guest care quality; supervise proper use of the bed board application for census planning such as room changes and meal planning.
  • Report operations information to the Director and leadership regularly; maintain and review the department budget with the Director.
  • Remain flexible to schedule changes and meet on‑call requirements, triaging issues and providing solutions within program operations.
  • Ensure direct reports execute crisis intervention and emergency assistance for guests and staff.
  • Review incident reports and emergency action plan documentation to ensure compliance, providing training as needed.
  • Assist the Director in developing and maintaining a system of education, in‑services, and training for all staff.
  • Collaborate with Program Coordinators and shift leads to complete weekly inventory for the operations department.
  • Ensure all operational software is utilized to complete daily tasks.
  • Coordinate with the administrative assistant to ensure all supply orders are placed, received, and any transportation issues resolved.
  • Create an environment of growth and development by delegating duties, assigning special projects, and supporting staff development.
  • Complete and conduct additional duties as assigned to meet the facility’s needs, beyond primary responsibilities.
  • Review and approve all timecards for the operations department, including corrections and approvals by employees prior to manager approval.
  • Ensure all operations staff members are compliant with California labor laws regarding breaks, lunch periods, and off‑clock work.
  • Collaborate with the People and Culture department on any relevant issues or questions.
  • Conduct monthly GSA meetings in collaboration with staff meetings and engagement initiatives.
  • Conduct yearly performance appraisals and bi‑monthly one‑on‑one supervision sessions with direct reports.
  • Implement corrective action plans as needed, up to and including termination, with support from People and Culture.
  • Work with the community liaison and security guard to ensure the safety of guests, staff, volunteers, interns, and visitors on the property.
  • Train staff in the use of security and surveillance systems.
  • Observe department guidelines regarding personal business during breaks and lunch hours.
  • Identify potentially unsafe systems, processes, or situations and report them to the Director.
  • Always follow NHF policies and procedures.
Requirements
  • Bachelor’s degree preferred.
  • 2‑3 years of supervisory experience with demonstrated coaching and mentoring in a related field.
  • Familiarity with LAHSA regulations.
  • Knowledge of OSHA regulations preferred.
  • Current BLS certification strongly preferred but not required.
  • Prior experience in a residential treatment facility, mental health facility, substance abuse treatment center, or homeless shelter preferred.
  • Excellent verbal and written communication skills required.
  • Ability to multi‑task, problem‑solve, meet deadlines, follow through, and manage a team in a fast‑paced environment.
  • Effective communication with all levels of staff, guests, and visitors.
Physical Requirements

The role requires frequent standing and walking, as well as extended sitting. The employee will frequently bend, stoop, squat, reach above the shoulders, twist, turn, kneel, and push or pull. The employee will frequently be required to lift, pull, push, or move up to 50 pounds. Conversational speech is needed for effective verbal communication; noise level is high in some guest care areas.

The employee must be able to hear equipment alarms, overhead pages, and direct verbal communication.
