We are seeking a dynamic, ambitious Administrative Assistant with strong paralegal capabilities to join our Los Angeles office. This role is ideal for a legal support professional experienced in litigation support, clerking, and U.S. court filing procedures — with particular strength in California court filing requirements, including e‑filing, physical filing, formatting compliance, service procedures and communications with clerks.

Key Responsibilities Legal Document & Case Support- Prepare, draft, revise and proofread legal documents including pleadings, motions, briefs, subpoenas, discovery responses, notices and routine correspondence.
- Support attorneys in preparing filings compliant with jurisdiction‑specific rules, with demonstrated experience handling California state and federal court filings, including:
- E‑filing platforms and court‑mandated upload protocols
- Formatting rules, page limits, service lists and filing deadlines
- Mandatory cover sheets, fee schedules and local rules compliance
- Coordinating directly with court clerks regarding filings, orders and status updates
- Assemble and finalize exhibit sets; prepare Table of Contents (TOC) and Table of Authorities (TOA).
- Redact confidential information and ensure accurate preparation of all litigation submissions.
- Open new matters and conduct conflicts checks.
- Track litigation deadlines, calculate timelines, and maintain a matter master list.
- Ensure all communications and documents are accurately stored in the firm’s document management system.
- Manage attorney calendars and coordinate internal and external meetings.
- Assist with travel arrangements, meeting logistics and materials preparation.
- Support monthly time-entry processes and ensure deadlines are consistently met.
- Assist with billing, prebills, client invoices and collections follow‑up.
- Act as liaison between attorneys, clients, court personnel, judicial assistants, process servers and opposing counsel.
- Maintain high standards of professionalism, responsiveness and confidentiality.
- Assist in organising seminars, client events, conferences and training sessions.
- Support office operations including supplies, expense reporting, vendor coordination and administrative tasks.
- Contribute to implementation of workflow processes, docketing tools and improved practice efficiencies.
- Prior experience in a law firm, litigation practice or legal department.
- Proven experience including drafting, filing, document management and litigation support.
- Significant experience with California court filings, including e‑filing, physical lodging of documents, service requirements and communication with clerks and court staff.
- Ability to create and revise TOCs and TOAs with precision.
- Strong proficiency with Microsoft Office and legal software platforms.
- Ability to work in a fast‑paced environment with shifting priorities.
- Exceptional organisational skills and meticulous attention to detail.
- Ability to work independently and exercise sound judgment within assigned responsibilities.
- Excellent written and verbal communication skills.
- Strong teamwork skills and ability to work effectively under tight deadlines
- Experience supporting multiple attorneys concurrently.
- Familiarity with docketing systems and litigation‑tracking tools.
