Overview
The Support Coordinator III is a senior administrative role responsible for ensuring smooth day-to-day operations in a busy ambulatory clinic. This role prioritizes patient-centered customer service, efficient scheduling, coordination of care, and timely handling of referrals, billing, and documentation. The Support Coordinator III also plays a key role in onboarding, training, and supporting continuous quality improvement initiatives within the clinic.
Minimum Qualifications- High school diploma or equivalent
- Proven excellence in customer service, patient scheduling, and referral processing
- Experience in hospital or medical office insurance billing, registration, or admitting
- Demonstrated knowledge of medical terminology
- Computer proficiency:
Microsoft Outlook, word processing, and navigation of hospital scheduling/registration systems (GE Centricity, Cerner, PBAR preferred) - Outstanding communication skills; fluent in reading, writing, and speaking English
- Strong organizational skills, flexibility, and ability to work both independently and in a collaborative, fast-paced environment
- In-depth understanding of major medical insurance plans and government health programs
- Fire Life Safety Training (LA City); must be obtained within 30 days of hire if not already certified (LA City only)
- Bachelor’s degree in a related field
- 5-7 years’ experience in administrative or customer service roles in a medical office, preferably ambulatory care
- Certification:
Certified Medical Assistant (CMA), Medical Billing and Coding Certificate - Bilingual language skills (Mandarin, Cantonese, or Spanish)
- Enter patient and referral information accurately and thoroughly in electronic systems
- Process new referrals, gather necessary documentation, and coordinate with physicians and care teams
- Schedule patient visits, surgeries, labs, and procedures; coordinate diagnostic testing and pre-authorization
- Respond to inquiries, emails, and voicemails promptly and professionally
- Greet and assist patients and caregivers, conducting benefit verification and financial risk assessments
- Resolve complex customer service issues and provide support to less experienced staff
- Uphold HIPAA and clinic policies to protect patient confidentiality
- Act as liaison between clinic, patients, physicians, and hospital departments
- Onboard and train new hires and assist with quality assurance, data collection, and process improvement initiatives.
