Description
The Release of Information (ROI) Specialist I within the Vital Chart department of VRC Companies, LLC ("VRC") is responsible for processing all assigned requests for medical records in a timely and accurate manner while delivering high-quality service to healthcare clients. This position safeguards the patient’s privacy by ensuring only authorized individuals access the patient’s medical information and that all ROI requests follow applicable policies and federal/state statutes, such as HIPAA.
The ROI Specialist I is expected to maintain high quality and productivity, interacts with the ROI Area Manager and/or ROI Team Leader, and informs them of any concerns or issues related to quality, connectivity, client concerns, or requestor issues that may impact VRC performance or service expectations. The role supports the image of VRC through professional interpersonal conduct.
- Assigned ROI request types will primarily be Continuing Care and Disability Determination Services, with cross-training on other request types as permitted by supervisor based on experience and performance
- Accesses ROI requests and medical records for healthcare clients according to client-specific procedures and security protocols
- Completes ROI requests daily, prioritizing based on turnaround times and service agreements between the healthcare facility and VRC
- Validates requests and signed patient authorizations for compliance with HIPAA and applicable laws and procedures
- Classifies request types accurately
- Logs requests into ROI software
- Retrieves and uploads requested portions of the patient’s medical chart from electronic or physical repositories
- Performs Quality Control checks to ensure accuracy and protect PHI
- Checks for accurate invoicing and adjusts invoices as needed
- Releases requests to valid requesting entities
- Rejects requests that are not HIPAA-compliant or otherwise invalid
- For records from physical repositories, returns records per VRC and client procedures
- Documents all exceptions, communications, and relevant information in ROI software
- Alerts supervisor to questionable or unusual requests and to any potential security issues
- Alerts supervisor to any breaches immediately
- Alerts supervisor to any issues delaying timely release of records
- Responds to requestor inquiries in a respectful, efficient manner
- Stores all records and files securely before leaving the work area
- Ensures adequate office supplies are available to carry out tasks
- Available to take on additional facilities or request types to assist during backlogs
- Assignments (on-site and/or remote) may change according to business needs
- Complies with VRC and healthcare facility policies and procedures, HIPAA, and applicable regulations
- Maintains confidentiality, security, and ethics in handling information
- Works with privileged information to release records efficiently, accurately, and securely
- Alerts supervisor to connectivity problems, software or equipment malfunctions, or security risks
- Adheres to all VRC policies and completes required training within the allotted timeframe
- Creates invoices and billing materials for clients and keeps client information up to date
- Performs all other duties as assigned
- High School Diploma (GED) required; degree preferred
- Prior experience with ROI fulfillment preferred
- Demonstrated attention to detail
- Ability to prioritize, organize, and meet deadlines
- Strong documentation and communication skills
- Ability to maintain productivity and quality performance
- Basic knowledge of medical records and HIPAA preferred
- Prior experience with EHR/EMR platforms preferred
- Proficiency with Windows and Microsoft Office products
- Strong interpersonal skills with teammates, clients, and requestors
- Must have strong computer and Microsoft Office skills
- Prior experience operating office equipment (printers, scanners, fax machines, etc.)
- Detail-oriented, self-motivated, and able to stay focused on tasks
- Must read, write, speak, and comprehend English; bilingual skills are desirable
