Job Summary: We seek a dedicated and professional Admission Coordinator to join our team. The Admission Coordinator is responsible for screening and qualifying potential clients, providing essential information to prospective clients' families and referring professionals, and completing thorough and comprehensive assessments. This role requires a deep understanding of the admission process, the ability to manage all aspects of admission, coordination with appropriate team members, and ensuring complete documentation in all required databases.

Responsibilities
  • Answer inbound phone calls, chats, and emails from potential clients, loved ones, and referring professionals.
  • Disposition calls in Call Tracking Metrics and notate all activity.
  • Obtain personal information from callers for financial obligations, insurance verification, medical/mental health necessities, legal obligations, family/social support, and employment information.
  • Provide accurate information on the process of addiction and recovery to potential clients and their families.
  • Complete thorough pre-assessments with potential clients.
  • Assess treatment eligibility based on admission criteria, insurance policies, and collaboration with clinical staff.
  • Obtain reports from outside professionals (referring physicians, hospitals, and treatment facilities).
  • Act as a liaison for referral sources, providing updates on admission and discharge information.
  • Arrange travel and coordinate transportation for clients.
  • Collect patient responsibility and negotiate payment.
  • Adhere to ethical obligations and duties regarding professional conduct with clients, colleagues, and organizations.
  • Develop and maintain the Admissions Database.
  • Collaborate with multiple departments, including management, to ensure timely access to additional care and address issues with prior services.
  • Ensure compliance with HIPAA, 42

    CFR regulations, and other mandates regarding client care and confidentiality.
  • Coordinate all travel for all facilities.
  • Perform other duties as assigned.

  • Strong interpersonal skills to handle sensitive situations and confidential information.

Qualifications
  • High school diploma and/or bachelor’s degree in a Behavioral Health field (preferred).
  • Valid CA Driver’s License and clean driving record.
  • Minimum of two years of experience in the field of Behavioral Health or a relevant industry.
  • CRM, Sales, and Call Center experience (preferred).
  • Current TB test and CPR/First Aid certification.
  • If in recovery from a substance use disorder, must have at least two years of continuous sobriety.
  • Knowledge of addiction treatment and 12-step programs.
Physical Demands
  • Must be able to remain stationary for up to 4 hours at a time.
  • Occasionally move about the facility, including ascending and descending stairs and step-stools.
  • Operate a computer and other office productivity machinery.
  • Move and position items weighing up to 25 pounds.
Work Environment
  • The work environment is a substance abuse and mental health treatment.
  • Exposure to varying indoor and outdoor conditions as part of facility setup and client/staff needs.
