Overview
We are seeking an experienced and operations-driven Tax Administrator to join a growing, women-owned CPA firm where staff are trusted, empowered, and given autonomy. This role is ideal for a senior administrative professional who loves taking ownership, keeping the engine running smoothly, and building systems that make everything around them work better.
You’ll have the runway to create and implement new SOPs, modernize workflows, and help the firm use technology to its fullest potential, while working alongside leaders who genuinely want your perspective, value your feedback, and rely on you to bring structure and consistency to the day-to-day. If you’re the type who can’t help but spot a better way to do things, and you enjoy turning that into a clean, scalable process, this is a high-impact role with a lot of room to make your mark.
Responsibilities- Own all firmwide tax administration workflows from start to finish, including billing, A/R, engagement letters, tax organizers, workflow tracking, and client administration.
- Serve as the primary administrator for CCH Practice Management and CCH Tax.
- Oversee and optimize the firm’s technology workflows, including Tax Caddy, Share File, and Pro System fx Engagement.
- Identify inefficiencies, redesign workflows, and implement standardized processes across the firm.
- Build, document, and maintain clear, scalable SOPs that are current and actively used.
- Train staff on standardized administrative and tax workflows.
- Maintain high standards for accuracy, formatting, grammar, and professionalism across all administrative deliverables.
- Proactively identify risks, bottlenecks, and breakdowns before they impact client service.
- Prior experience in a CPA firm environment is required.
- Strong working knowledge of CCH systems (Practice Management and Tax).
- Highly organized, detail-oriented, and process-driven with strong follow-through.
- Comfortable pushing for decisions and holding staff accountable.
- Strong technology aptitude and ability to learn and optimize firm systems.
- Ownership mindset with the ability to operate independently and be relied upon.
