Overview
The Senior Sample Manager is responsible for all aspects of sample management for a high-volume ecomm client, including inventory control, product tracking, and team oversight to ensure all production guidelines are followed and image due dates are met.
The Senior Sample Manager will have excellent attention to detail, be extremely data-driven, process-oriented, and highly organized. The ideal candidate will have experience in sample management, merchandising, or ecommerce production, with demonstrated leadership capabilities.
Responsibilities- Lead and oversee the flow of merchandise throughout all stages of the ecomm photo production process, from sample check-in, on set, through to final merchandise return.
- Directly manage and support two Sample Team members, including task assignment, training, workflow prioritization, and quality control.
- Maintain merchandise room and prop closet organization standards, ensuring consistency across the team. Partner with the styling team to keep the prop closet current and purge older props from the closet.
- Ensure product information is accurate, products are properly tagged, and samples are in acceptable shoot condition.
- Act as a senior liaison between client and IC to gather all relevant product information and maintain data accuracy in the sample management system.
- Partner with client and internal teams to resolve missing samples, scrub data, and work through sample discrepancy issues.
- Work closely with the production team to create weekly shoot schedules based on sample priorities, due dates, required turnarounds, available merchandise, and brand allocation.
- Review, export, compile, and deliver reporting for both internal and external stakeholders.
- Ensure proper set up and documentation of workflows, as well as cross training for all sample team members.
- Collaborate closely with styling to ensure products are photographed correctly and paired with appropriate prop pieces.
- Partner with digital and retouching teams to facilitate samples through post-production workflows and color correction.
- Proactively identify, communicate, and solve merchandise and workflow issues across the production pipeline.
- Continuously evaluate and improve sample workflows to drive efficiencies, scalability, and error reduction.
- Provide on-set support as needed, serving as a subject-matter expert on product and sample systems.
- Escalate risks, capacity concerns, system or workflow issues to leadership with proposed solutions.
- Work closely with the dedicated account manager to ensure proper communication across cross functional partners and continuously brainstorm ways to improve workflows and reduce error.
- 3-5 years experience in sample management, merchandising, or ecommerce-related roles.
- Previous experience leading or mentoring team members preferred.
- Extremely data and process driven with exceptional attention to detail.
- Advanced Microsoft Office skills, particularly Excel; highly comfortable working with data-heavy spreadsheets.
- Excellent written, verbal, and presentation communication skills.
- Strong organizational, time-management, and prioritization skills in a fast-paced environment.
- Proven ability to balance hands-on execution with team leadership.
- Collaborative, positive, and adaptable with a strong sense of ownership.
The anticipated salary range for this role is $75,000 - $85,000 annually. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience, and skills relative to the defined job requirements.
