Responsibilities
  • Monitors and evaluates services provided by contractors and/or subcontractors by preparing timelines of tasks and deadlines; selecting random sample sizes for administrative responsibility, fiscal accountability, and service delivery reviews; conducting on-site visits and desk reviews; and ensuring contractors perform at optimal levels in compliance with contract agreements and regulations.
  • Conducts on-site visits to contractor locations; conducts meetings to discuss purpose, preliminary findings, and provides technical assistance; reviews and verifies documents; performs inspections to ensure effective services are delivered and are in compliance with applicable rules and regulations; verifies billing accuracy and contractor performance.
  • Investigates potential problems and non-compliance; documents discrepancies; conducts follow-up inspections; ensures corrective action within contracted time frames; initiates actions through supervisor when necessary.
  • Prepares various documents by compiling information and using computer software to solicit, convey, record, or present information.
  • Reviews, analyzes, and processes documents for accuracy, completeness, and compliance with contract terms and applicable regulations; reviews invoices for necessity, propriety, and reasonableness and assesses penalties or bonuses as appropriate.
  • Maintains records of contractor activities and expenditures; maintains and organizes files and correspondence related to contracts; ensures accessibility and accuracy.
  • Serves as a liaison with agencies and organizations; provides information, guidance, and solutions; coordinates trainings and meetings related to contracts.
  • Assists supervisor in contract development and amendments; researches applicable laws; identifies errors in contract language and supports change orders to maximize financial and operational performance.
Qualifications

OPTION I: One year of experience at the level of Administrative Assistant III.

OPTION II: Two years of experience in a contract environment at the level of Administrative Assistant II.

OPTION III: Three years of experience at the working supervisor level involving fleet management and/or maintenance.

LICENSE: A valid California Class C Driver License or the ability to use an alternative method of transportation when needed to carry out job-related essential functions.

PHYSICAL CLASS: PHYSICAL CLASS II – Light: administrative and clerical positions with light physical effort, occasional lifting to 10 pounds, and some bending, stooping, or squatting. Considerable ambulation may be involved.
