Overview
Join our team at Sasooness Law Group and be an essential part of delivering exceptional client experiences while keeping our office running smoothly. We are looking for a Spanish bilingual Front Desk / Office Administrative professional to help manage our day-to-day office operations and client interactions. This entry level role includes greeting and assisting visitors, managing incoming and outgoing mail, coordinating client check distribution, and supporting attorneys and staff with administrative tasks.
This position and a great opportunity to gain hands-on experience in a fast-paced legal environment. We are looking for the right candidates for long-term employment.
- Greet, welcome, and assist visitors; direct guests appropriately and support in-office client interactions.
- Manage incoming mail by opening, sorting, prioritizing checks, scanning documents, and routing materials to the appropriate Case Manager or Attorney.
- Prepare and manage outgoing mail, including disbursement checks, cost requests, firm correspondence, client merchandise, letters, and packages.
- Coordinate client check distribution, including certified mailings and in-office pickups.
- Verify client identification, obtain required signatures, scan documentation, and provide necessary client materials during check pickups.
- Support office operations by maintaining supply levels, coordinating replenishment needs, managing kitchen supplies, and shredding sensitive documents.
- Assist with additional administrative and office tasks, including coordinating office events, meetings, lunches, and special activities.
- Run company errands as assigned, including mail runs, supply purchases, and storage unit visits.
- Communicate with building management regarding office needs such as maintenance requests, temperature adjustments, and trash services.
- Conduct initial interviews with clients to gather essential information.
- Strong organizational, multitasking, and communication skills.
- Professional and courteous demeanor with the ability to interact effectively with clients, attorneys, and staff.
- Proficiency with standard office technology and the ability to learn firm-specific systems and procedures.
- Prior administrative or office support experience preferred.
- Experience in a legal or personal injury setting is appreciated but not required.
- Ability to maintain confidentiality and handle sensitive information with discretion.
