The Executive Secretary provides essential administrative support to Shaw’s senior leaders, ensuring efficient scheduling, travel coordination, expense processing, and meeting preparation. This role requires strong organizational skills, discretion with confidential information, and proficiency in MS Office to manage reports, correspondence, and events. Ideal candidates excel in multitasking, communication, and time management while maintaining professionalism in a fast-paced environment. The Executive Secretary performs administrative and office support duties for several directors and sales leaders, allowing them to work more efficiently, and is responsible for a variety of reports, records, and scheduling management.
Responsibilities- Type letters, inter‑office correspondence, narrative and statistical reports.
- Independently prepare correspondence and recurring reports for sales leaders.
- Arrange sales meetings and events.
- Coordinate customer events.
- Receive and screen visitors and telephone calls.
- Perform secretarial duties with speed and accuracy with little supervision.
- Have knowledge and experience with word processing.
- Handle confidential information.
- Prioritize routine work.
- Perform related duties as assigned.
- Handle incoming/outgoing correspondence.
- Requisition supplies, furniture, and equipment.
- Maintain organizational structure for portions of the Residential Retail sales force.
- Coordinate meals for group meetings.
- Key required spreadsheets/reports, tracking information, etc. on a daily, weekly, or monthly basis.
- Work closely with Senior Management, scheduling meetings, etc.
- Make travel arrangements.
- Process and submit expense reports.
- Work at markets as requested by management.
- Minimum 3 years of administrative experience.
- Proficient in MS Office.
- Excellent computer, communication, oral, and written skills.
- Courteous and pleasant with visitors and callers.
- Ability to comprehend and analyze written reports.
- Effective verbal and written communication.
- Excellent time‑management and organizational skills.
- Team player.
- Excellent interpersonal skills and capability to communicate with all levels of personnel.
- Capability to work well under pressure.
- Excellent telephone skills and manners.
- Independent judgment in prioritizing workload.
- Aptitude for computer and other office machinery.
8‑hour non‑rotating shift, hours fall to a punch day, observed calendar, shift starts AM.
