Office Administrator/ Coordinator, Clerical
Fisher Phillips, a premier international labor and employment law firm, is seeking an experienced Administrative Assistant to join our team. In this essential role, you will help ensure the smooth operation of our services, directly supporting our attorneys in delivering exceptional client service and upholding our commitment to excellence.
This role is best suited for an experienced administrative professional who has prior experience handling competing priorities in a fast-paced, professional environment.
Key Responsibilities (Experienced-Level Role)- Office Operations & Administrative Support (Required):
Independently manage office expense reconciliation reports, invoice submissions, and administrative workflows that support daily office operations. Provide consistent support to the operations of a multi‑office, professional services environment. Experience planning and executing office events. This role requires prior experience handling complex administrative responsibilities in a professional office environment. - Legal Administrative Support (Required):
Support legal administrative functions, including assisting with conflict check requests and new business intake documentation. Prior exposure to legal or professional services environments is a plus. - Visitor, Meeting & Onboarding Coordination (Required):
Serve as the first point of contact for clients and visitors, manage incoming deliveries, and support new hire onboarding. A polished, client‑service oriented presence and prior experience in a professional front‑office or reception setting are required. - Task & Priority Management (Required):
Manage multiple priorities simultaneously while maintaining accuracy, professionalism, discretion, and confidentiality. This role requires sound judgment, attention to detail, and the ability to operate independently in a fast‑paced environment.
Requirements
- College degree and minimum of 2 years’ secretarial or administrative experience in a related environment is required; 3 years’ legal experience is preferred.
- Intermediate‑advanced skill level in Microsoft Word, Outlook, Excel, PowerPoint and Adobe. Experience using Chrome River, Concur, InTapp, and iManage helpful.
- Experience working in a team‑oriented and collaborative environment.
- Demonstrated problem‑solving abilities.
- Demonstrated experience independently managing administrative processes, deadlines, and competing priorities.
- Proven ability to support C‑Level, senior professionals, or office/department leadership with minimal supervision.
- Strong organizational, communication, and time‑management skills.
- High level of professionalism, discretion, and commitment to confidentiality.
