Overview
The USC Office of Cultural Relations and University Events is seeking a Reservations Coordinator to join its team. This role facilitates guest registration processes for university events, serving as the primary point of guest contact for phone and email correspondence. It involves managing the Reservations phone line and central email inbox, and ensuring check-in processes run smoothly on-site at events both on- and off-campus.
Responsibilities- Work closely with event producers, on invitee lists and invitations, upload and send event information, and manage guest lists as invitees RSVP.
- Manage guest registrations and check-in processes on-site using iPads; provide professional, high-touch service to guests, including high-profile university guests.
- Serve as the primary point of contact for inquiries via phone and email; maintain professionalism and courtesy in all correspondence.
- Supervise student employees and coordinate with other teams to ensure smooth event operations.
- Assist with on-site registration workflows for events at the University Park Campus and other locations.
- BA preferred
- 2 years of experience in events, customer service, and data management
- Demonstrated proficiency in written and oral communications
- Ability to manage multiple projects, events, and deadlines effectively
- Ability to work independently and collaboratively in a team setting
- Strong sense of protocol and ability to work with top-level executives
- Proficient in Microsoft Excel
- Familiar with Mac computers and iPads
- Proficient in Salesforce and Marketing Cloud
- Resume and cover letter required
- Reference letter preferred
Location and schedule:
The role is a flexible hybrid position with 3 days on-site at the University Park Campus and 2 days remote. Some evening and weekend availability is expected. This hourly position is eligible for overtime.
Compensation:
The hourly rate range for this position is $22.01 - $28.12. When extending an offer of employment, USC considers factors such as the scope and responsibilities of the position, candidate experience, education/training, key skills, internal equity, applicable laws, grant funding, and external market considerations.
