Position: Executive Assistant to the CEO
Job Description
Bluewater provides comprehensive and innovative solutions for managing the lifecycle of large format batteries and solar panels. As a startup committed to further developing a circular economy, we innovate in the reuse, recycling, and resale of EV, e-mobility, material handling equipment, and energy storage technologies to promote sustainability and resource efficiency. We're on an exciting mission to reduce inefficiencies and enable a secondary marketplace for renewable energy equipment, and we're doing it in an emerging segment of renewable energy where strong operators can set the standard for growth and innovation.

Bluewater is seeking a sharp, proactive, and highly organized Executive Assistant to work directly with the CEO and operate at the center of a fast-growing startup. This is more than a traditional support role; it's an opportunity to become a trusted partner to the CEO, help manage priorities, execute key initiatives, and keep the business moving forward every day. This role is ideal for someone with an entrepreneurial mindset who thrives in a fast-paced environment, anticipates needs before they arise, and wants real exposure to how a company is built.

You'll gain firsthand experience across operations, leadership, deals, and strategy, while also overseeing the day-to-day operations of the office.

If you're curious, highly motivated, detail-oriented, and energized by startups, this role will stretch you in the best way.

Requirements

Key Responsibilities
  • Serve as the CEO's right hand by owning calendar management, scheduling, and travel coordination to ensure time is spent where it matters most
  • Own ad hoc initiatives including contract review, financial planning, deal-related activities, and cross-functional projects
  • Anticipate priorities, flag conflicts early, and help maintain momentum across initiatives
  • Act as the primary point of contact for internal and external communications with the Office of the CEO, exercising sound judgment, discretion, and professionalism
  • Prepare materials, agendas, presentations, and briefing documents for executive meetings, board sessions, and leadership gatherings
  • Track, review, and reconcile expense reports and budgets related to the CEO and office operations, ensuring accuracy and policy compliance
  • Help build and maintain a positive, well-run office environment that supports team execution and culture
  • Oversee day-to-day office operations, serving as the primary liaison with any office vendors while managing purchasing, inventory, and office supplies
  • Plan and execute company-wide events such as offsites, retreats, team gatherings, celebrations, and conferences
Qualifications
  • 4-5+ years of experience in an administrative, executive support, or operations role
  • Exceptional attention to detail with the ability to manage multiple priorities simultaneously
  • Strong proficiency in Microsoft Office (Outlook, Teams, Excel)
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion when handling confidential information
  • Resourceful, action-oriented, and comfortable solving problems independently
  • Strong interpersonal skills with experience coordinating cross-functionally
  • Ability to gather information, conduct research independently, and develop clear reports or summaries
  • A growth-oriented mindset with eagerness to learn quickly and take on increasing responsibility
  • Customer-focused mentality with a creative, solutions-oriented approach
