Position: SENIOR ADMINISTRATIVE ANALYST (SERVICE COUNCILS)

Overview

Provides complex administrative, analytical, and/or budgetary support for an assigned department. This position supports all five Metro Service Councils by preparing agendas, minutes, meeting announcements, and reports; researching responses to Council inquiries; and providing support for other administrative tasks related to Service Council operations. May require driving to off-site locations several times a month.

Responsibilities
  • Plan and organize administrative functions and tasks relative to the activities or operations of a department
  • Design, develop, and implement projects aligned with agency goals, policies, procedures, work requirements, and performance measures
  • Conduct financial, administrative, policy, and organizational analyses; prepare analytical/forecasting reports; provide recommendations; and implement problem-solving measures
  • Monitor projects and programs; track KPIs and trends
  • Recommend strategies for process improvement; prepare justifications for staffing, facilities, equipment, production, and policy
  • Conduct special projects and programs related to the department
  • Represent Metro in meetings, committees, and conferences; conduct on-site meetings with public agencies, community organizations, contractors, vendors, consultants, and the public as assigned
  • Advise management and staff regarding performance and funding matters
  • Assist in development, administration, and tracking of department and capital budgets and/or contracts, including gathering information, monitoring expenditures, and recommending actions on budget variances
  • Prepare recommendations for proposed expenditures of capital funds
  • Prepare and submit requisitions and check requests
  • Process confidential documents and maintain data
  • Generate correspondence, reports, and presentations
  • Coordinate staff to work as a team and coordinate activities with other departments
Qualifications

Education

  • Bachelor's Degree in Business, Public Administration, or a related field

Experience

  • Three years of relevant experience performing administrative, operational systems, and/or budgetary support work; some positions may require specialized experience in the area of assignment

Certifications/Licenses/Special Requirements

  • A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to perform job-related essential functions
Preferred Qualifications

The following are preferred qualifications (not minimum requirements):

  • Experience with Microsoft Office (Outlook, Word, PowerPoint)
  • Experience interacting with elected officials, executives, and diverse communities
  • Experience maintaining, archiving, proofreading, editing, and organizing files
  • Experience operating Salesforce and/or Word Press and Zoom
