A confidential organization is seeking a highly capable and polished Executive Assistant to provide top-tier administrative and operational support. This onsite position is based in Los Angeles and involves close collaboration with senior leadership and internal teams in a fast-moving, high-performance environment.

The ideal candidate is proactive, exceptionally organized, and experienced in managing complex calendars, travel, and executive communications. A high level of professionalism, confidentiality, and attention to detail is essential. If this sounds like you, we’d love to hear from you!

Key Responsibilities
  • Manage daily calendar and meeting scheduling across time zones
  • Correspondence management; monitor inboxes for time-sensitive action items
  • Coordinate business travel logistics, including itineraries, bookings, and expense reporting
  • Support office operations, vendor relationships, and occasional tech or systems troubleshooting
  • Assist with internal initiatives, project tracking, research, and document preparation
  • Maintain and update digital platforms (e.g., company website, basic social scheduling)
  • Liaise with internal and external stakeholders on behalf of the Managing
  • Uphold confidentiality in handling sensitive information and strategic priorities
  • Run personal errands as needed
  • Assist other teams and departments as needed
Qualifications
  • 5+ years supporting a senior executive in a fast-paced setting
  • Proven track record of calendar, travel, and operations management
  • Strong command of Microsoft Office Suite, video conferencing tools, and basic CMS or content scheduling platforms
  • Excellent communication, discretion, and interpersonal skills
  • Self-starter who anticipates needs and manages competing priorities seamlessly
  • Professional demeanor and ability to adapt across formal and informal environments
