Overview

We are seeking a highly organized and proactive Executive Assistant to support senior leadership and contribute to the smooth day-to-day operations of a fast-paced professional environment. This role requires discretion, strong judgment, and the ability to anticipate needs while managing multiple priorities.

What You’ll Do
  • Manage complex calendars, including scheduling meetings, appointments, and events
  • Provide comprehensive administrative support such as answering phones, greeting guests, and handling correspondence with professionalism
  • Coordinate domestic and international travel, including flights, lodging, ground transportation, and detailed itineraries
  • Support senior leadership with a variety of administrative and operational tasks, including assistance related to compliance, reporting, and special projects
  • Prepare, review, and submit expense reports in accordance with internal policies
  • Organize and maintain digital and physical files, ensuring accuracy and accessibility
  • Maintain data and records with precision, including CRM and reporting support
  • Handle confidential and sensitive information with discretion
  • Identify opportunities to improve workflows, efficiency, and productivity
  • Collaborate cross-functionally to support internal initiatives and leadership priorities
  • Oversee light office coordination tasks such as supplies, kitchen needs, and in-office meals
  • Deliver a high level of service to internal and external stakeholders
What You’ll Bring
  • 4+ years of experience in an executive assistant or senior administrative role
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Working knowledge of Adobe tools
  • Excellent organizational, time-management, and multitasking skills
  • Strong written and verbal communication abilities
  • Ability to work independently, anticipate needs, and exercise sound judgment
  • High level of discretion, professionalism, and reliability
