We are seeking a highly organized and proactive Executive Assistant to support senior leadership and contribute to the smooth day-to-day operations of a fast-paced professional environment. This role requires discretion, strong judgment, and the ability to anticipate needs while managing multiple priorities.
What You’ll Do- Manage complex calendars, including scheduling meetings, appointments, and events
- Provide comprehensive administrative support such as answering phones, greeting guests, and handling correspondence with professionalism
- Coordinate domestic and international travel, including flights, lodging, ground transportation, and detailed itineraries
- Support senior leadership with a variety of administrative and operational tasks, including assistance related to compliance, reporting, and special projects
- Prepare, review, and submit expense reports in accordance with internal policies
- Organize and maintain digital and physical files, ensuring accuracy and accessibility
- Maintain data and records with precision, including CRM and reporting support
- Handle confidential and sensitive information with discretion
- Identify opportunities to improve workflows, efficiency, and productivity
- Collaborate cross-functionally to support internal initiatives and leadership priorities
- Oversee light office coordination tasks such as supplies, kitchen needs, and in-office meals
- Deliver a high level of service to internal and external stakeholders
- 4+ years of experience in an executive assistant or senior administrative role
- Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Working knowledge of Adobe tools
- Excellent organizational, time-management, and multitasking skills
- Strong written and verbal communication abilities
- Ability to work independently, anticipate needs, and exercise sound judgment
- High level of discretion, professionalism, and reliability
