Job Title: Client Services Specialist – Conference & Events

Pay: $23.56 - $29.33/per hour
Benefits: This position is eligible for a comprehensive benefits package including Medical, Dental, Vision, and additional benefits for employees working 30+ hours per week.
Responsibilities- Provide a high-touch, concierge-style service experience to clients, visitors, and internal stakeholders
- Manage conference room scheduling, reservations, and confirmations using an event management system
- Coordinate meeting logistics including room setup, catering, audio-visual needs, and visitor offices
- Serve as the primary point of contact for conference center inquiries via phone and in person
- Maintain detailed knowledge of conference room layouts, seating capacity, and A/V capabilities
- Partner closely with internal teams such as IT, catering, and office services to ensure seamless event execution
- Assist with visitor registration, badge issuance, and workplace security procedures
- Perform administrative duties including document preparation, scanning, printing, invoicing, expense processing, and time entry
- Maintain cleanliness and organization of reception areas, conference rooms, and kitchen pantries; replenish supplies as needed
- Operate coffee and beverage equipment and support client meetings as required
- Proactively communicate service issues and improvement opportunities to management
- Uphold strict confidentiality, discretion, and professionalism at all times
Must-Have:
- 3+ years of front desk, client services, or hospitality experience in a professional environment
- Strong customer service skills with exceptional attention to detail
- Ability to manage high-volume workloads with excellent time management and multitasking abilities
- Outstanding verbal, written, and interpersonal communication skills
- Proficiency in Microsoft Word, Excel, and Power Point
- General knowledge of audio-visual systems and ability to perform basic setup and troubleshooting
- Ability to learn and utilize an event management or room reservation system
- Willingness to work flexible schedules, including early mornings, evenings, weekends, holidays, and overtime as needed
Preferred:
- Experience in a law firm or professional services environment
- Familiarity working cross-functionally with IT, catering, and facilities teams
