Role OverviewFly House is seeking a highly organized and proactive Brand Logistics Coordinator to manage, streamline, and optimize all swag, gifting, and brand-related logistics. This onsite role is responsible for overseeing the full operational process behind swag distribution—including planning, inventory management, vendor coordination, tracking, and communication updates to internal teams and high‑profile recipients. The ideal candidate anticipates issues before they arise, takes ownership of systems and workflows, and exercises sound judgment to keep operations running smoothly.
This role ensures a premium, consistent brand experience through thoughtful execution and proactive logistics management. The Brand Logistics Coordinator also supports the Chief of Staff and CEO with VIP gifting needs that require discretion and elevated presentation.
- Manage the end‑to‑end logistics for all Fly House swag, including forecasting needs, planning shipments, and coordinating timelines.
- Own inventory management systems, ensuring accurate recordkeeping, organization, and timely reorders.
- Evaluate and recommend vendors, product options, packaging upgrades, and logistical improvements that elevate the Fly House brand experience.
- Maintain quality standards for all swag and gifting items, ensuring consistency and professionalism.
- Oversee shipping logistics for clients, new hires, events, and VIP recipients.
- Proactively track shipments and communicate updates to internal teams, executive leadership, and recipients as needed.
- Resolve delivery issues independently by coordinating with couriers, vendors, and stakeholders.
- Maintain shipment logs, forecasting reports, and operational documentation.
- Support the CEO and Chief of Staff with personalized gifting for high‑net‑worth clients and partners.
- Exercise discretion in selecting, packaging, and coordinating special deliveries.
- Anticipate gifting needs for upcoming milestones, client engagements, and events.
- Ensure the Van Nuys office has appropriate swag and brand materials available and organized.
- Assist with event preparation, swag distribution, and onsite logistics.
- Maintain clear processes for internal teams to request swag or branded materials.
- Identify opportunities to streamline logistics, improve the recipient experience, and reduce operational bottlenecks.
- Implement small‑scale systems or workflow enhancements that support efficiency and consistency.
- Partner with the marketing team to ensure all swag aligns with Fly House brand standards.
- 3+ years of experience in logistics coordination, operations, office support, event coordination, or a related field.
- Strong organizational skills with the ability to manage multiple priorities and tight deadlines.
- Excellent attention to detail and accuracy.
- Proactive thinker with the ability to anticipate needs and solve issues independently.
- Strong written and verbal communication skills.
- Comfortable working with executives, vendors, and high‑profile recipients.
- Proficiency in Microsoft Office/Google Suite; experience with shipping or inventory platforms is a plus.
- Ability to lift and manage packages and materials as part of swag oversight.
- Willingness to travel up to 25%, including occasional weekends or later hours as needed.
