About the Role:

The Administrative & Marketing Assistant provides administrative, operational, and marketing support to the Executive Marketing Assistant and the Marketing Department. This role is designed to increase efficiency by handling day-to-day administrative functions while also assisting with marketing coordination, client communications, and project execution.

Duties and Responsibilities:

  • Provide direct administrative support to the Executive Marketing Assistant
  • Manage calendars, scheduling meetings, and coordinating calls
  • Draft and organize correspondence, proposals, and documents
  • Assist with preparing quotes, proposals, and agreements
  • Support client enrollment through compliance platforms
  • Maintain and update marketing and client databases
  • Coordinate printing and distribution of marketing materials
  • Assist with updating presentations and promotional materials
  • Support email marketing and campaign tracking
  • Liaise with Scheduling, Accounting, Payroll, and Operations
  • Assist with recruiting coordination and job postings
  • Support special marketing projects
  • Perform other duties as assigned

Essential Skills and

Qualifications:

  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Creative thinking and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency with Microsoft Office, Google Workspace, and CRM/marketing platforms.

Physical Requirements:

  • Must be able to lift, push, pull, and carry up to 25 lbs.
  • Must be able to perform the following:
    • Sit – frequently, up to 8 hours per day.
    • Walk – infrequently, up to 1 hour per day.
    • Stand – frequently, up to 2 hours per day.
    • Computer Usage – frequently – up to 8 hours per day.
  • Communicate verbally to staff, clients and coworkers in transmitting and gathering information
  • Hear information transmitted verbally by phone or radio.
  • Adequate vision required to be able to read information from printed sources and computer screens, as well as color vision and fields of vision to perform job functions. In addition, with the ability to see to drive and read street, vehicle and building marking.
  • Must be able to tolerate work in an indoor and outdoor environment (heat, cold, rain, etc.)
