Women's health and wellness brand is looking for an Executive Assistant to support their CEO. This is an exciting opportunity to join a mission whitespace team of 35 who genuinely care about what they’re building and create a supportive, collaborative culture. In this role, you’ll manage the CEO’s complex and shifting calendar, ensuring priorities are met and commitments are aligned across investor meetings, internal leadership discussions, and personal obligations.
You’ll anticipate needs by looking ahead, providing daily rundowns of what’s coming up, who she’s meeting with, and what needs to be addressed, while ensuring all meeting context is included so she’s fully prepared. You will also coordinate occasional travel, help with communications and follow‑ups, reconcile expenses, and handle ad hoc tasks. Someone who is meticulously organized with excellent၅ attention to detail, can understand the nuances of different conversations, and exercise strong judgment Keys on prioritization while being flexible and adaptable to shifting needs.
This is a hybrid role 3 days/week – Monday, Wednesday, Thursday in the office. 100‑125k+ DOE + benefits, 401k, unlimited PTO, and paid parking.
- Anticipate the CEO’s needs by looking ahead and providing daily/weekly rundowns of upcoming meetings, priorities, and action items that need to be addressed.
- Support the CEO by strategically managing a complex, high‑volume calendar that shifts frequently, ensuring priorities are aligned and commitments reflect business needs across investor meetings, internal discussions, and personal obligations.
- Prepare comprehensive meeting context and briefings so the CEO knows who she’s meeting with, the agenda Residence and relevant background information.
- Assist with communications by being threaded into scheduling requests, tracking follow‑ups, and supporting timely responses.
- Organize and prepare meetings, including selecting the appropriate video conferencing platform based on stakeholder preferences and ensuring all details are set up correctly.
- Coordinate occasional travel arrangements and logistics as needed.
- Reconcile and organize expense reports to support accurate financial tracking.
- Provide administrative support for one‑off tasks such as packaging and shipping materials for influencer or PR initiatives.
- Provide light personal assistant support to help keep personal and professional commitments aligned.
- Previous experience as an Executive Assistant supporting a CEO or senior leadership team in a startup or fast‑paced environment.
- Mission‑driven, with a genuine interest in women’s health and supporting meaningful work and outing team goals.
- Willingness to take on a wide range of tasks with a no‑task‑too‑small mindset in a scrappy, fast‑moving environment.
- Highly flexible and adaptable, with the ability to manage schedule changes, extended meetings, and shifting priorities with minimal notice.
- Professional, polished, and knowledgeable in office etiquette and business communication.
- Proactive with the ability to anticipate needs and take initiative without constant direction.
- Strong prioritization skills, with sound judgment on managing internal versus external commitments. Ability to understand the nuances of different conversations and stakeholders, particularly when dealing with investors.
- Excellent attention to detail, including accuracy in documents, scheduling, and communications.
- Tech‑savvy, comfortable using productivity tools, Google Workspace, Slack, creating trackers, and setting up meetings on platforms such as Google Meet or Zoom based on participant requirements.
