Senior Mail Clerk – Healthcare
Position Overview:
The Senior Mail Clerk is responsible for the professional handling of all corporate correspondence, ensuring a seamless transition from physical paper to digital workflows. This role focuses on the precise sorting, scanning, and electronic distribution of information to keep the organization connected and efficient. You will be the central point for ensuring that no communication—whether physical or virtual—is missed or delayed.
- Incoming Sortation:
Receive and organize all incoming letters and documents with high attention to detail. - Distribution:
Ensure physical mail reaches the correct internal departments or individual desks promptly. - Outgoing Correspondence:
Prepare and process outgoing business letters, ensuring correct postage and professional presentation.
- Digitization Workflow:
Scan incoming physical documents into high-resolution digital files for immediate electronic access. - Smart Routing:
Use document management software to index and deliver virtual mail directly to department folders. - Database Management:
Maintain an organized digital archive of scanned mail to ensure information is searchable and retrievable.
- Privacy Standards:
Handle all sensitive, legal, or financial documents with the utmost discretion and integrity. - Information Security:
Ensure that digital files are shared only with authorized personnel via secure internal channels. - Record Retention:
Follow company policies regarding how long physical mail is kept after scanning and manage the secure destruction of sensitive paper records.
- Experience:
3+ years in office administration, document management, or a professional mail services environment. - Digital Literacy:
Advanced proficiency with scanning software, Google Workspace, or dedicated digital mailroom tools. - Organizational
Skills:
Exceptional ability to manage high volumes of information without sacrificing accuracy. - Communication:
Refined written and verbal communication skills suitable for a corporate office environment. - Integrity: A proven track record of handling confidential information with professional care.
Must be willing to travel to pick up mail in different locations. Valid driver's license and reliable vehicle required.
Pay & Benefits- $20–22 an hour, depending on experience.
