Overview
Description : Salary Range: $23-$30.44 per hour. The Staff Assistant I position supports the Office of Diversion and Reentry (ODR) CalAIM Community Supports program within the Los Angeles County Department of Health Services (DHS). The CalAIM initiative is administered by Medical Care Plans (MCPs) and includes Community Supports to cover tenancy sustaining services and housing navigation for Medi-Cal beneficiaries who meet criteria.
ODR provides daily oversight and implementation of CalAIM; this role provides clerical and administrative support to the CalAIM Community Supports team and assists ODR Leadership with relevant tasks. The Staff Assistant I will support development of workflows specific to Community Supports and ensure data quality, completion of assessments and service plans, and updates from providers.
- Work with the CalAIM team to coordinate and collect data for CalAIM referrals. Data is entered in client profiles and referral lists and includes sensitive information related to demographics, health information, and health plan providers. Upload documentation for client profiles, populate lists for new enrollments, cross-reference databases, and maintain trackers.
- Provide administrative and clerical support for all CalAIM functions, including organizing patient lists, patient status and assignments, oversight of patient referrals, and managed care plan requests.
- Maintain CalAIM client data records and analyze for accuracy. Ensure missing information is added promptly. Conduct timely audits of program data to ensure information is prepared for submission to the state. Support CalAIM team in coordinating accurate billing and timely documentation for participants.
- Attend meetings as needed with ODR personnel, take notes, and prepare minutes and action items.
- Prepare and/or assist in the preparation of reports, spreadsheets, documents, literature, material, and forms; search records and files for data as needed.
- Frequent use of Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook, One Note, Publisher), Adobe Reader, Skype.
- Perform skilled clerical and typing duties requiring working knowledge of clerical functions and initiative/judgment.
- Process, edit, and create a variety of documents (e.g., Word, Excel).
- Education/
Experience:
One year’s experience in either (1) analyzing and recommending solutions for organizational problems, procedures, programs, budgets, or personnel; or (2) a highly responsible secretarial capacity; or (3) a responsible supervisory clerical capacity.
- Certificates/Licenses/Clearances: A valid California Class C Driver License or ability to use an alternative transportation method; successful clearance through the Live Scan process with the County of Los Angeles.
- Other Skills, Knowledge, and Abilities: Proficient in Microsoft Office Suite; ability to multi-task, set workload priorities for time-sensitive projects; problem-solving and process/policy improvement capabilities; strong written and verbal communication; ability to work in a diverse environment and with diverse individuals; dependable and reliable; ability to work independently or in a project team.
