LAFLA seeks an Executive Assistant to provide outstanding administrative support to the Executive Director and ensure smooth operation of the Office of the Executive Director. The Executive Assistant will coordinate calendar activities, calls, meetings, presentations, and communications, and work with Boards of Directors. Job SummaryPosition:
Executive Assistant. Responsibilities include planning and managing key operational activities, coordinating the Executive Director’s calendar, supporting senior leaders including board-related activities, and ensuring effective communication and coordination across the organization.
- Supports the Executive Director in day-to-day activities and high-level administrative tasks.
- Develop materials (presentations, reports, scripts) for meetings with staff, board members, partner organizations, and government officials.
- Understand organizational structure and priorities to interact with internal and external partners and manage information flow.
- Support Board of Directors and committees, including coordinating meetings, maintaining documentation, and preparing agendas, minutes, and board packets.
- Perform administrative functions such as note-taking, document preparation, invoice submission, and data entry.
- Create databases, conduct research, and carry out projects as prescribed.
- Manage calendars and prioritize leadership time for departmental needs.
- Act as liaison between the Executive Director and senior management, board members, donors, and volunteers.
- Maintain filing and communications systems, including electronic document management and archiving.
- Coordinate travel, trainings, meetings, and retreat logistics.
- Assist with planning agency events and training registrations for legal staff.
- Draft and design general correspondences, memos, charts, and agendas; proofread documents.
- Maintain governance files, contracts, vendor agreements, and travel/expense records.
- Exercise diplomacy and independent judgment in handling calls and correspondence; manage complex assignments with initiative.
- Work on special projects requiring initiative and independent action.
- Bachelor’s degree and a minimum of 3 years of experience directly supporting a senior executive.
- Experience providing administrative support and developing materials for board meetings (agendas, minutes, reports, logistics).
- Project management experience and ability to deliver projects.
- Ability to coordinate activities with colleagues and build strong relationships at all levels.
- Discretion with sensitive information; strong interpersonal, verbal, and written communication skills.
- Excellent organizational skills and attention to detail; proficient in electronic communications and Microsoft Office 365 (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and videoconferencing software.
- Ability to exercise independent judgment and initiative; capable of creating reports and handling correspondence independently or from instructions.
- Flexibility to work evenings and weekends as required; ability to travel locally.
