The Accounts Payable Supervisor oversees the daily operations of the accounts payable function, ensuring timely, accurate processing of invoices, payments, and expense reports. This role supervises AP staff, enforces internal controls and policies, and partners with accounting and finance leadership to support accurate financial reporting and cash management.
Key Responsibilities- Oversee daily AP activities including invoice processing, coding, approvals, and payment runs
- Ensure timely and accurate vendor payments via check, ACH, wire, or other methods
- Prioritization & Task Management:
Rank tasks by urgency/importance to meet deadlines & handle tasks from start to finish - Maintain vendor records/relationships and resolve vendor inquiries and discrepancies
- Review and approve invoices, expense reports, and payment batches
- System Oversight:
Manage corporate credit card programs and assist with accounting software administration - Supervise, train, and mentor accounts payable associates or clerks
- Assign workloads, monitor deadlines, and ensure service-level expectations are met
- Establish and maintain documented AP procedures and workflows
- Identify opportunities to improve AP efficiency, accuracy, and automation
- Partner with finance, client management and other departments to ensure accuracy, and resolve vendor and payment issues
- Financial Accuracy:
Ensure AP ledger accuracy, journalizing & account reconciliations - Assist with ERP or AP system implementations and enhancements (e.g., Net Suite, SAP, Oracle)
- Team Leadership:
Recruit, train, mentor, supervise & support AP clerks; conduct performance reviews and manage workload distribution
- Bachelor’s degree in accounting, finance, or related field (or equivalent experience)
- 4+ years of accounts payable experience, including supervisory or lead responsibilities
- Strong knowledge of AP processes, internal controls, and reconciliations
- Strong organizational, leadership, and communication skills
- Proficient with accounting software and Microsoft Office, including Quick Books Desktop, Net Suite, and Divvy
- Highly skilled and proficient at verifying financial or transactional data
