Overview
Location: Los Alamos, New Mexico
Title: Project Coordinator
Schedule (FT/PT): Regular Full Time
Travel Required: No
Government Clearance: Must be able to hold a DOE issued badge, and/or site-specific badge as required.
North Wind Site Services is focused on providing engineering, program management, environmental remediation services including investigation and characterization, environmental restoration, unexploded ordnance/military munitions response (MMRP), regulatory public involvement services, environmental compliance, logistics, and records and facility management.
Responsibilities- Assist with project procurements, cost and schedule reporting, accruals and invoicing, and processing change orders.
- Log and process daily reports, project correspondence, submittals, meeting minutes, and other records and reports.
- Assist in the development, planning, analysis, evaluation, and prioritization of project deliverables and requirements.
- Assist in the production of management plans, technical documents, procedures, and presentation graphics, including editing the work of others.
- Transmit all contract deliverables, track receipt, status, approvals and version control; accurately maintain logs and records using SharePoint or other database systems.
- Manage site training database, and file copies of contract-required training certification
- Assist Project and Contract Managers in development of project schedules, resource plans, and budgets during the bid and proposal phase.
- Coordinate and schedule meetings, record and distribute meeting notes, maintain database, and compile reports for deliverables.
- Coordinate and assist troubleshooting administrative and office tasks with personnel including scheduling and purchasing and general queries.
- Coordinate tracking and purchasing of office supplies and necessary maintenance for the office space.
- Communicate with project personnel to obtain plan updates and perform project plan maintenance.
- Coordinate employee in/out processing.
- Upload receipts and apply codes for online credit card and other purchasing systems.
- Other duties include activities such as collating, scanning, filing daily logs and reports; recording accurate meeting minutes; maintaining calendars, tracking appointments and crew work schedules; ordering and receiving equipment and supplies as needed.
Education and Experience:
- Associates degree or equivalent
- 3-5 years of administrative, clerical, records management, document control, and SharePoint experience
Skills and Abilities:
- Advanced skills with Adobe Acrobat and Microsoft Office products
- Excellent verbal and written communication skills
- Experience working with government contracts preferred. Work will be in an office environment (duty station is North Wind office in Los Alamos, NM).
Special Requirements:
- Must pass pre-employment background check
- Must pass pre-employment drug screening
- Must be able to pass random drug screenings
- Must be able to hold a DOE issued badge, and/or site-specific badge as required.
- 2+ years experience working in government contracting, DOE or DOD environment.
Work will be primarily conducted in an office environment with primarily sedentary work; light work is possible. Sitting, standing, walking, lifting and carrying objects, reaching overhead, below shoulder level, keyboarding, fine and gross manipulation, stooping, kneeling, climbing ramps/stairs/ladders, speaking, hearing, and visual acuity.
Working EnvironmentIndoors. Outdoor work to attend prejob/safety briefings may be required in all weather conditions.
