SummaryThe Construction Administrator (CA) provides administrative support to the Construction Operation teams of Safety and Trade Management. The CA role requires strong organizational and computer skills. The CA plays an instrumental role in Operational Processes, which requires initiative and frequent communication with construction field and various departments within the Company.
Essential Duties- Provide strong administrative support both clerical and technical in nature as required to assist leadership
- Maintain electronic filing for Trade Management (TM) and Safety.
- Active involvement in Safety & TM meetings and training.
- Assist with agenda preparation.
- Scheduling personnel and meeting rooms.
- Preparation and distribution of meeting minutes.
- Follow up action items arising from meetings.
- Occasional travel to project sites for training, meetings, etc.
- Document control for Operations.
- Maintaining current versions of Foreman's Handbook and CES Safety Manual.
- Assist with editing current policy documents and/or the creation of new ones.
- Processing Site Specific Safety Plans and other safety documentation as required.
- Liaison with HR and payroll for communication to the construction field, documentation of training, etc.
- Maintenance of the manpower‑forecasting tool and distribution of construction field assignments.
- Distribution and tracking of Toolbox Talks.
- Data entry for OSHA 300 Log.
- Assist TM with maintenance of Weld Procedures, Welding Certifications and Medical Gas Certifications.
- Other duties and special projects as assigned.
- High school diploma or general education degree (GED); and minimum of three (3) to five (5) years related experience and/or training; or equivalent combination of education and experience
- Exceptional organizational skills with a proven track record showing attention to detail
- Proficient in Excel, Word and Outlook
- Ability to help maintain consistently accurate records
- Superior verbal, reading, and writing skills; able to communicate effectively at all levels
- Must be task oriented
- Bilingual in Spanish and English preferred but not required
