Position: Litigation Secretary for a well-established firm in Long Beach

Overview

Adams & Martin Group is seeking a seasoned Senior Litigation Secretary for our client, a well-established law firm in Long Beach. This is a full-time, in-office role supporting 1-2 high-volume attorneys in our insurance defense and medical malpractice practice groups. The ideal candidate is proactive, detail-oriented, and thrives in a collaborative environment with a team known for stability and professionalism.

Responsibilities
  • Case Management & Docketing
    • Manage complex litigation calendars, deadlines, and court rules.
    • Maintain case files (physical and electronic), including organization, indexing, and archiving.
  • Court Filings & E-Filings
    • Prepare, proof, format, and file pleadings, motions, discovery, and supporting documents in state and federal courts
      .
    • Handle e-filing through court-specific platforms and ensure compliance with local rules.
  • Discovery & Production Support
    • Coordinate document production, medical records, expert materials, subpoenas (including SDTs
      ), and deposition scheduling.
    • Prepare exhibit lists, binders, and trial notebooks.
  • Attorney Support
    • Draft correspondence, engagement letters, and transmittals with minimal supervision.
    • Manage heavy calendars, travel, expense reporting, and time entry.
    • Communicate with clients, carriers, experts, vendors, and opposing counsel professionally.
  • Billing & Administrative
    • Process monthly billing, pre-bills, edits, and write-offs in coordination with accounting.
    • Open new matters, maintain matter metadata, and ensure confidentiality and data integrity.
  • Trial & Hearing Preparation
    • Coordinate hearing packets, witness logistics, and trial preparation (including last-minute filings).
    • Assist with jury instructions, exhibit indexes, and trial logistics as needed.
Qualifications
  • Experience: 5-8+ years as a litigation secretary/legal assistant in a law firm, with direct experience in insurance defense and/or medical malpractice strongly preferred.
  • Skills:
    • Mastery of California state court rules; familiarity with federal court rules.
    • Expert-level proficiency with Word
      , Outlook
      , Excel
      , Adobe Acrobat
      , and court e-filing systems; experience with document management systems (e.g., iManage/Net Documents) and billing software (e.g., Elite/Pro Law/Aderant) preferred.
    • Strong grammar, formatting (TOCs/TOAs, captions), and proofreading skills.
    • Able to manage competing deadlines and heavy workload with minimal supervision.
