Assistant Project Manager (Work Location:
Long Beach, CA) Position Summary
The Assistant Project Manager - Construction supports the planning, coordination, documentation, and execution of construction projects, including capital, renovation, and tenant improvement (TI) assignments. This role assists senior project management staff in ensuring projects are delivered on schedule, within budget, and in compliance with contractual requirements and CSU standards. Typical assignments include field coordination, construction administration, contract documentation, and project controls.
RequiredExperience
- Minimum of 5 years of project management or construction management experience supporting construction delivery, documentation, or administration
- Demonstrated experience tracking and documenting RFIs, submittals, meeting minutes, and project correspondence.
- Proven ability to coordinate field tasks and support schedule updates.
- Working knowledge of construction scheduling principles.
- Familiarity with construction contract administration, change management, and basic cost controls.
- Communication
- Strong verbal and written communication skills with experience preparing professional meeting minutes, logs, and reports.
- Proficiency with Microsoft Office Suite.
- Ability to work in a construction environment and travel between campus facilities and project sites.
Preferred Experience
- Experience on Tenant Improvement (TI) projects or similar commercial interior renovation programs.
- Experience working within the California State University (CSU) system or familiarity with public university construction processes and standards.
- Experience with CSU construction administration and campus stakeholder coordination.
- Proficiency with project management tools and software (e.g., Procore, MS Project, Bluebeam).
- Bachelor's degree in Construction Management, Architecture, Engineering, or a closely related field, or equivalent combination of education and extensive construction project management experience.
- Assist in tracking and documenting construction administrative records, including Requests for Information (RFIs), submittals, meeting minutes, logs, and correspondence to maintain project control and audit readiness.
- Support coordination of field activities with contractors, consultants, campus stakeholders, and regulatory agencies, ensuring alignment with project objectives and university operations.
- Help monitor contractor performance, respond to field coordination issues, and elevate concerns to the Senior PM.
- Provide field coordination, walkthroughs, meetings, and project documentation activities.
- Prepare and maintain document control systems, distribution lists, and transmittal logs for all project deliverables.
- Assist in schedule development, updates, and progress monitoring to ensure construction milestones are achieved and delays are documented.
- Support change management activities, including logging, tracking, and documenting change requests, potential impacts, and contract modifications.
- Aid the Senior PM in analyzing change order requests and support negotiation and justification of recommended adjustments.
- Coordinate and participate in weekly Owner/Architect/Contractor (OAC) meetings and other project milestone meetings; prepare and distribute accurate minutes.
- Assist with project controls tasks such as updating project schedules, tracking project costs, and compiling reports for project meetings and executive briefings.
- Maintain project databases and archives in compliance with CSU and departmental recordkeeping requirements.
- Provide field observation reports supported by detailed notes and photographic documentation.
- Help ensure contractor compliance with contract documents, CSU construction standards, safety regulations, and quality requirements.
- Support project close‑out activities including completion of final submittals, warranties, as‑builts, punch lists, and audit records.
- Perform related responsibilities as required to support the mission of CPDC, campus facilities, and CSU capital program objectives.
