Position Information

The California State University, Office of the Chancellor, is seeking a Manager, Strategic Executive Engagement to serve as the principal point of contact for the overall strategic management, organization, and prioritization of the Chancellor’s portfolio of engagements. This role performs high-level executive administrative management functions for the Chancellor, requiring discretion and alignment with the Chancellor’s goals. The MSEE will work with the Associate Vice Chancellor and Chief of Staff, Executive Office, the Executive Vice Chancellors and Vice Chancellors, the Executive Writing team, and other stakeholders to prepare the Chancellor for engagements, manage the calendar, and ensure timely follow-through on action items.

As a key member of the Chancellor’s Strategic Engagement Team, the MSEE will organize and prioritize engagements to advance systemwide goals and priorities.

Responsibilities
  • Manage, oversee, and ensure efficient, accurate, strategic management of the Chancellor’s portfolio, including receiving, tracking, researching, prioritizing, and scheduling meeting, speaking engagement, and event requests; draft and review correspondence; coordinate meeting and event logistics.
  • Ensure the Chancellor is fully briefed with relevant background materials; coordinate with internal and external stakeholders for meetings involving the Chancellor.
  • Develop and prepare briefing materials (agendas, itineraries, briefing packets) and maintain accurate meeting information in the Chancellor’s calendar and electronic folders.
  • Serve as primary liaison with high-level stakeholders; monitor changes and communicate information to staff as needed.
  • Prioritize the Chancellor’s online meeting and event requests in a timely, organized manner.
  • Utilize project management tools to track and prioritize meeting and event workflow processes.
  • Conduct research to vet and prioritize meeting and event requests and coordinate with the Strategic Engagement Team on recommendations and strategies.
  • Collaborate with division subject-matter experts to develop timely, detailed briefing materials; exercise sound judgment and discretion.
  • Coordinate with the Executive Writing team to align talking points, speeches, remarks, and keynotes with priorities and timeliness.
  • Ensure smooth information flow within the Executive Office; anticipate scheduling conflicts and apply solutions with sound judgment.
  • Draft responses to scheduling-related correspondence and oversee quality control of outgoing communications.
  • Manage end-to-end process for meetings and events, monitor follow-through on action items, and coordinate cross-divisional assignments for event preparation.
  • Understand Chancellor priorities and provide high-level strategic counsel in scheduling and engagements.
  • Oversee detailed travel arrangements for the Chancellor, including itineraries, travel bookings, and materials; ensure compliance with travel policies.
  • Collaborate with the Executive Office Senior Administrative Assistant to ensure background for travel expenses is accurate and timely.
  • Coordinate with campus offices to schedule annual presidential conferences and reviews.
  • Perform other related duties as required to support the Chancellor.
