The Operations Coordinator / Buyer’s Assistant supports the day‑to‑day operational execution of House of Decant’s inventory, product listings, and supplier activity. This role focuses on accurate execution, coordination, and follow‑through across inventory, systems, and logistics.
The role works closely with buying, warehouse, and customer service teams to ensure products are correctly set up, stock is in the right place, and operational issues are resolved quickly.
Key Responsibilities Inventory & Stock Support- Maintain accurate inventory levels across multiple locations
- Assist with inter-location stock transfers to meet demand and reduce stock imbalances
- Monitor stock levels and flag shortages, overstocks, or discrepancies
- Set up and maintain product listings across systems
- Upload product data, images, SKUs, and pricing updates
- Ensure listings are accurate and live on time for launches and promotions
- Assist with purchase order creation and tracking
- Follow up with suppliers on delivery timelines and discrepancies
- Maintain accurate records of orders, deliveries, and invoices
- Coordinate inbound shipments with suppliers and warehouses
- Support stock transfers between locations
- Work with warehouse teams to resolve fulfilment or stock issues
- Track basic sales, stock movement, and inventory performance
- Prepare regular reports to support reordering and planning decisions
- Keep operational documentation and systems up to date
- Support new product launches and promotional campaigns
- Ensure stock availability, correct pricing, and accurate listings
- Coordinate with internal teams to ensure operational readiness
- Act as a point of contact between buying, warehouse, and customer service teams
- Escalate issues clearly and early when problems arise
- Support process improvements to reduce errors and improve efficiency
- 2–5 years’ experience in operations, inventory, buying support, or e-commerce
- Strong attention to detail and comfort working with data and systems
- Organised, reliable, and able to manage multiple tasks simultaneously
- Confident communicator with suppliers and internal teams
- Proactive mindset — spots problems before they escalated
