Our company is a UK-based property management and lettings company specialising in residential lettings, property management, temporary accommodation, and guaranteed rent schemes. We work closely with landlords, tenants, councils, and contractors to deliver compliant, high-quality housing solutions across the UK.

We are seeking a Property Negotiator to support our growing operations and ensure smooth day-to-day property management activities. The ideal candidate will play a vital role in expanding our property portfolio by engaging with landlords, agents, and property owners, building strong relationships, and negotiating company let agreements.

Role Summary

The Property Coordinator / Assistant will provide administrative and operational support to the property management and lettings team. This role is ideal for someone organised, detail-oriented, and keen to develop a career in the UK property sector.

You will act as a key point of contact between landlords, tenants, contractors, and internal teams to ensure properties are well maintained, compliant, and efficiently managed.

Key Responsibilities Property & Tenancy Coordination
  • Assist with day-to-day property management activities.
  • Coordinate move-ins, move-outs, inspections, and property handovers.
  • Maintain accurate property, tenancy, and compliance records.
  • Support rent collection processes and tenancy documentation.
Business Acquisition
  • Outbound Communication:
    Conduct outbound calls to agents, landlords, and property owners to introduce the company’s services and build rapport.
  • Needs Assessment:
    Engage prospects in meaningful conversations to understand their requirements and challenges.
  • Presenting Benefits:
    Pitch the benefits of the company's let agreements and explain how they address the needs of landlords and property owners. (GRA)
  • Identify and pursue property acquisition opportunities through market research, agent relationships, and off-market sourcing.
  • Relationship Building:
    Develop and maintain strong relationships with agents, landlords, and property owners to turn initial communication into long-term collaborations.
  • Arranging Viewings:
    Schedule and coordinate property viewings with agents, landlords, or owners.
  • Agreement Drafting:
    Assist in preparing and reviewing tenancy agreements and other related documentation.
Maintenance & Repairs
  • Log maintenance issues and liaise with contractors.
  • Track work orders and ensure timely completion.
  • Obtain quotes and support approval processes.
  • Update landlords and tenants on repair progress.
Compliance & Documentation
  • Assist in monitoring statutory compliance (Gas Safety, EICR, EPC, Fire Safety).
  • Maintain organised digital and physical property files.
  • Support audits and internal compliance checks.
Communication & Customer Service
  • Act as a first point of contact for tenants and landlords.
  • Respond to queries professionally via phone and email.
  • Escalate complex issues to the Property Manager when required.
Administrative Support
  • Update CRM/property management systems.
  • Prepare reports, schedules, and trackers.
  • Support the lettings and acquisitions teams when needed.
Required Skills & Experience
  • Experience in property administration, property acquisition, lettings, or property management (preferred).
  • Strong organisational and time-management skills.
  • Excellent verbal and written communication.
  • Comfortable using property management systems and MS Office.
  • Customer-focused mindset.
  • Knowledge of UK residential property compliance.
  • Experience with temporary accommodation or guaranteed rent schemes.
  • Understanding of ASTs and tenancy processes.
Qualifications
  • GCSEs or A-Levels (minimum).
  • Property-related qualifications (ARLA, IRPM) are a plus but not essential.
