About the role This is a hands-on, varied, part-time role supporting the smooth operation of the charity. Working closely with the founders and volunteers, you will play a central role behind the scenes, helping to keep everything running efficiently, compliantly, and with care. Key responsibilities Operations & administration Act as a central point of contact for day-to-day charity enquiries Manage shared inboxes and correspondence Maintain organised digital and physical filing systems Complete regular stocktakes of charity merchandise and materials Update charity policies when required Maintain and update records on the Charity Commission website Finance & accounts support (working alongside the charitys accountant) Update and reconcile accounts in Xero Match receipts and invoices Pay invoices in line with agreed processes Track income and expenditure accurately Support year-end and ongoing financial reviews Grants administration Manage grant enquiries and applications Prepare and issue grant approval letters Prepare and issue grant refusal letters sensitively and professionally Track grants awarded and monitor how funding is spent Maintain accurate and confidential grant records Donor & supporter engagement Respond to fundraising and donor enquiries Maintain appropriate contact with donors and supporters Provide updates on grants awarded and the impact of donations Support donor stewardship in line with the charitys values Fundraising & events Support planning and delivery of fundraising events Assist with pop-up shops, including coordination and stock management Attend and support fundraising events as required Work collaboratively with volunteers to support activities External relationships & engagement Build and maintain relationships with local businesses and external stakeholders Travel locally with the charity founder when required Support meetings, visits, and external engagement activity Funding & development support Research and seek grant and funding opportunities Maintain a pipeline of potential funders Support preparation of funding applications and documentation Founder & volunteer support Manage the founders diary and external engagement activity Support coordination of meetings, events, and commitments Work with volunteers to provide support when needed Additional responsibilities Provide general operational support to the charity as required, in line with the scope and hours of the role Priorities will be agreed regularly to ensure workload remains manageable and aligned with the charitys needs About you Essential skills & experience Strong organisational and administrative skills Confidence managing multiple priorities in a small organisation Good written and verbal communication skills Confidence using digital systems (e.g. email, spreadsheets, shared drives) A high level of discretion and sensitivity when handling confidential information Ability to work independently, manage time effectively, and use initiative Desirable skills & experience Experience supporting finance or accounts processes Experience using Xero or similar accounting software Experience working in a charity, not-for-profit, or values-led organisation Experience supporting fundraising events or community activity What we offer Meaningful, purpose-driven work Flexible, part-time hours A supportive, values-led environment The opportunity to make a genuine difference Additional information This is a part-time role with some local travel required The role will be reviewed after 12 months to ensure it remains sustainable and appropriate The salary stated is a full-time equivalent figure and will be adjusted pro- rata to reflect the part-time hours Why work with us
