We are seeking an Assistant Facilities Manager to join the facilities team who provide a safe, welcoming workplace for all employees in our Head Office based in Mayfair. The Facilities team also manage the company flat, which contains serviced rooms for visiting employees.
Your key responsibilities will include.
- Day–to–day management of both hard and soft FM activity for both London workplaces and the Company Flat
- Management of CAFM systems Vantify and Halo, including quotes, job logging, paperwork and reporting sign–off and small payment approvals
- Day to day liaison and contact for Maintenance, external contractors and suppliers, including insurance inspections, H&S audits and core maintenance activities
- Proactive building management, including regular walkarounds and inspections, remedials and work supervision
- Management of building H&S compliance, including annual risk assessments and audits
- Support with office moves and changes, projects and team goals
- Lead on smaller projects and innovations, driving process improvements with a particular focus on sustainability and cost effectiveness
- Support with building logistics in the event of an emergency – this includes acting as Fire Warden and providing operational support as needed.
To be successful in this role you will need
- Previous relevant experience gained within a similar Workplace and/or FM role
- Experience with and good understanding of hard FM services
- Experience of effectively managing contract partners and suppliers
- Excellent communication skills, able to build strong relationships at all levels and motivate others
- Adaptable, pro–active and self–sufficient – able to manage and prioritise workload effectively across a varied range of tasks
- Passionate about sustainability and building an inclusive and safe workplace
- Solid understanding of the H&S requirements for commercial buildings
- Must have IOSH Managing Safely certificate or be willing to undertake this within the first year of employment
