Position: GP Receptionist (part-time)

Overview

We are looking to recruit someone to work 4 hours per day (variable shifts between 8am and 6.30pm Monday to Friday) who loves dealing with people and is very organised and proactive to join our Reception team. We are based in Acton and serve 9000 patients with a team of 24 clinical and administrative staff. We have recently moved into new purpose-built premises.

You need to be excellent at dealing with people (with very good English), quick to learn, reliable and good at working as part of a team. You will need to be happy working in a busy environment, multitasking, willing to show initiative and go the extra mile for our patients. NHS or reception/customer service experience is preferable but not necessary.

duties
  • Welcomes patients to the surgery and assists the clinical staff in the provision of excellent healthcare.
  • Answers the telephone and responds appropriately (e.g., making/changing appointments, dealing with requests for home visits, redirecting calls where appropriate).
  • Arrange translators/ambulances/patient transport as necessary.
  • Advise patients on services available at Hillcrest Surgery.
  • Day-to-day handling of petty cash including taking payment from patients for private services.
  • Act as chaperone for nurses and doctors if required.
  • Complete a significant event analysis form for any serious or untoward events.
  • Deal appropriately with incoming emails from patients.
  • Ensure samples are processed and collected.
  • Proactively book patients who require regular appointments for chronic illnesses.
About us

Hillcrest Surgery has recently relocated to a purpose-built premises. We are a team of 24 which includes a clinical team of GPs, Nurses, Clinical Pharmacists, Healthcare Assistants as well as GP and Nurse trainees. The non-clinical team includes a Practice Manager, Practice Secretary, Senior Receptionist and Receptionists.

Job responsibilities
  • Welcomes patients to the surgery.
  • Answers the telephone and responds appropriately (e.g., making/changing appointments, dealing with requests for home visits, redirecting calls where appropriate).
  • Register temporary/immediate and necessary patients and ensure all necessary information is obtained and entered.
  • Register new patients, check they are within our catchment area and obtain all necessary information.
  • Assist patients with the completion of any forms, as necessary.
  • Arrange ambulance transport when required.
  • Arrange translators and other support services when required.
  • Liaise with the District Nurse / Community Matrons, Health Visitor, Pharmacists and other health care workers when required.
  • Sort, file and give out prescriptions to patient/chemists as appropriate, resolving any issues related to a prescription request.
  • Report any problems with the premises, medical equipment or the running of the Practice to the Practice Manager.
  • File notes and paperwork appropriately.
  • Day-to-day handling of petty cash including taking payment from patients for private services.
  • Enter on computer all contacts with a patient using history as an encounter and writing the encounter.
  • Act as chaperone for nurses and doctors if required.
  • Complete a significant event analysis form for any serious or untoward events.
  • Work as part of a team to keep reception and the entrance to the Practice looking tidy and welcoming.
  • Work as part of a team to ensure that all tasks are carried out accurately and fully.
  • Take a turn at all shared reception duties (e.g., stock rooms, making coffees during morning surgery and admin work for the Practice Secretary/ IT and Office Manager and Assistant to the Practice Manager).
  • Collate new patient notes ready for summarising.
  • Deal appropriately with incoming emails from patients.
  • End of shift: tidy each room, log computers off, and return medical equipment to the correct room/storage space.
  • Ensure all outstanding messages or urgent problems are handed over to the Duty Doctor or clearly set out for the next shift; action requests in the administration tray and complete urgent actions by day end.
  • Tidy the waiting room at the end of each day, remove out-of-date posters, and ensure information in the waiting room is up to date.
