Job Summary

We have an exciting opportunity to be part of a friendly, dynamic team of administrators and clinicians based at St Leonard's, where you will be the first person that patients predominantly attending physiotherapy appointments will meet. You will be part of making a difference to patients in pain, signing patients into their appointments, organising new appointments and solving problems.

Responsibilities
  • Provide frontline service to the Locomotor Service Departments at St Leonards, undertaking day-to-day running of the Therapy Outpatient Service reception desk.
  • Communicate face-to-face and on the telephone with the general public and health care staff within and outside the hospital.
  • Be responsible for the daily administration of the computerized booking systems.
  • Problem-solve issues relating to patient appointment and filing systems.
  • Register referrals, schedule appointments, arrange transport or advocacy services.
  • Distribute incoming letters to appropriate staff members, ensuring urgent referrals and enquires are dealt with promptly.
  • Provide guidance to volunteers who support patients in the reception area.
  • Deal effectively with patients who may be angry, upset or anxious according to Trust and Department procedure.
  • Liaise with other hospital.
  • Answer telephone enquiries promptly and pass on accurate messages.
  • Induct new staff to reception desk systems.
  • Receive goods and alert appropriate staff to any problems.
  • Print and send a range of letters to patients and referrers.
  • Upload dairy sheets for reception and individual therapists ready for next day clinics.
  • Cancel and rebook appointments by telephone if therapists are on sick leave or other unplanned leave.
  • Assist senior administrators in contacting patients and filling appointment slots.
  • Assist senior administrator in validating waiting list.
  • Input data such as patient feedback or statistics into prepared forms.
