Overview

Job Summary We are looking for highly motivated reception administrators to join our dynamic and friendly team to work in state of the art GP Led Health Centre, rated "Outstanding" by CQC, in Pinner which is open 8am-8pm, 7 days a week. We are an innovative and forward thinking EMIS practice committed to delivering the highest standard of patient care. Hours are mainly Monday to Friday;

some weekend cover is also required. Competitive salary offered.

Responsibilities

Main duties of the job

  • To provide and maintain a high standard of care for visitors and patients as well as providing assistance to other members of the primary healthcare team.
  • To ensure that all visitors, telephone callers, and patients accessing the practice are greeted professionally. To ensure all telephone calls are managed appropriately.
  • To assist patients in accessing the most appropriate healthcare professional to meet their clinical need.
  • To manage the flow of patients and patient administration queries. To ensure the administrative clinical pathways are followed.
  • To ensure that all telephone queries/requests from patients are handled appropriately and, where necessary, acted as liaison with the Doctors/Nurses; pulling and filing medical records as necessary.
  • Processing repeat prescriptions and filing for collection within 48 hours.
  • Taking home visit requests.
  • Advising patients of relevant charges for private services.
  • Receiving specimens from patients, ensuring all their details have been recorded whilst following Health & Safety policy.
Administration Duties
  • To have a thorough knowledge of all practice policies and procedures.
  • To work in accordance with written protocols.
  • Provide administrative support for clinical staff.
  • Filing patient records and correspondence when necessary.
  • Opening and distribution of practice post.
  • Registering new patients following the Registration Protocol.
  • Scanning of documents onto the medical system. All scanning should be cleared daily.
  • To send letters to patients as necessary.
  • Photocopying of notes and other information (in reception this includes ensuring enough forms are printed or photocopied: consent forms, appointment cards, change of details etc.).
  • Changing details on EMISweb (e.g., change of address, telephone numbers, etc.).
  • Cover for other team members may be required for sickness and annual leave.
  • To carry out any other duties agreed between employee and the practice to ensure the smooth running of the practice.
