Senior Meeting & Events Coordinator, London

Job Title: Senior Meeting & Events Coordinator
Location: London
Working pattern: 5 days onsite (40 hours per week)
Hours: Shift pattern – 07:00 to 23:00. Normal shifts are typically 08:00‑17:00 or 09:00‑18:00 with 1–2 evening shifts a week; all finish no later than 22:00.

What You’ll Do
  • Event Delivery & Operations
    • Own the full event lifecycle, ensuring all requirements are understood, planned, and delivered to CBRE’s premium standards.
    • Conduct daily checks of all meeting and event spaces, guaranteeing readiness and escalating any facilities or maintenance issues promptly.
    • Manage set‑ups, turnarounds, and resets – including furniture, décor, AV equipment, and layouts – ensuring precision and efficiency.
    • Coordinate with Catering, AV, and Front of House teams to deliver seamless, high‑quality experiences.
    • Perform final inspections prior to event start to ensure flawless execution.
    • Provide on‑day support: guest welcome, troubleshooting, supplier liaison, and service oversight.
    • Log and resolve any event‑day issues swiftly and professionally.
  • Systems & Administration
    • Champion the Korbyt reservation system: manage bookings, maintain accurate records, and ensure timely updates for cross‑charging.
    • Identify opportunities to optimise space utilisation and streamline processes.
    • Support administrative tasks such as guest lists, name badges, stock control, and ordering event materials.
    • Align Henrietta House practices with the wider EMEA Events team to ensure consistency and best‑in‑class standards.
  • Leadership & Team Support
    • Provide day‑to‑day supervision and guidance to Meeting & Events Coordinators.
    • Conduct weekly one‑on‑ones to coach, develop, and support team members.
    • Oversee the shared inbox, ensuring timely responses and equitable workload distribution.
    • Allocate events based on business priorities and team capacity.
    • Assist the Meeting & Events Manager with rota planning and operational decisions.
    • Foster a collaborative, high‑performing team culture focused on service excellence.
  • Safety
    • Complete all required HSE training at a satisfactory level.
    • Follow all activity policies, procedures, and HSE‑related requirements at all times.
    • Participate in HSE‑related programs and activities as required, including incident investigations, audits, and assessments.
    • Report any condition that could result in an accident or injury and, if necessary, stop work.
    • Maintain and wear appropriate personal protective equipment (PPE) at all times and apply manual handling techniques.
  • Other duties as assigned to support the wider workplace experience team.

  • Proven experience in event coordination or hospitality management, ideally within a corporate or premium environment.
  • A passion for delivering exceptional client service and engaging with visitors and clients.
  • Highly adaptable and flexible with a warm and engaging demeanour.
  • Strong leadership skills with the ability to coach and motivate a team.
  • Exceptional organisational and time‑management abilities.
  • Proficiency in event management systems (Korbyt experience desirable).
  • Excellent communication and stakeholder management skills, including the ability to write reports and respond to common inquiries or complaints.
  • A proactive mindset with strong problem‑solving skills and a passion for delivering outstanding client experiences.
  • Availability to work flexible schedules based on office needs.
