Travel and Logistics Coordinator - Club Class Music Management
Club Class is an independent international music management company representing a diverse roster of dynamic artists across the globe. We manage all aspects of their careers, including touring, music releases, marketing, and live performances. Our current roster features talents such as GENESI, Gok Wan, James Hype, Liva K, Meduza, Mista Jam, and Tita Lau.
We’re excited to be hiring a Travel & Logistics Coordinator to support our busy Travel & Logistics department. The role supports the Head of Artist Logistics and the wider team by overseeing travel, logistics, and artist performance arrangements. Responsibilities include maintaining accurate data, managing contracts and offers, booking travel and accommodation, liaising with promoters, and ensuring all artist requirements are met.
Key Responsibilities- Assist with data entry for client performances, ensuring all information is accurate and up to date.
- Load and manage artist performance offers, ensuring all details align with contractual terms and management approvals.
- Load and manage artist performance contracts into the internal system, maintaining accuracy and consistency.
- Load and manage travel and accommodation arrangements for clients whilst on tour, ensuring all logistics meet artist and management requirements.
- Maintain and regularly update the travel refund sheet, ensuring all claims are tracked and processed correctly.
- Liaise with promoters to ensure seamless execution of travel and performance logistics. Maintain and manage clients traveller profiles ensuring all personal details and requirements are accurate and up to date.
- Research travel options to align with client touring schedules, ensuring routes and timings are optimised.
- Support the wider team with any additional administrative or logistical tasks related to artist touring and live events.
- Strong organisational skills and attention to detail are essential, along with the ability to coordinate multiple tasks across busy touring schedules.
- Be able to work under pressure and in a timely manner.
- Be able to work within a wider team who crossover on emails and to keep abreast of ever changing schedules.
- An enthusiastic and attitude.
- Good verbal communication skills and ability to feedback to the team.
- Comfortable working as part of a close-knit team.
- Strong organisational skills and ability to use own initiative.
- Ability to learn quickly and adapt.
- Willingness to work flexibly including out-of-hours, evenings and weekends.
- Knowledge of general world geography, international airports + airline codes / products.
- A basic understanding of ticketing / fare structures but not essential.
- Excellent verbal and written communication skills is essential for this fast paced role.
