About the Role

This Administrator role sits within the Property Department's Infrastructure Engineering team, supporting the smooth day‑to‑day operation of the Bank's buildings and engineering services. The team looks after three highly important sites in London and Essex, ensuring that facilities and critical systems operate safely, reliably, and efficiently, 24/7.

As an Administrator, you'll play a key part in helping engineers and managers focus on their technical work by providing organised, reliable, and professional administrative support.

What You'll Be Doing

Your work will be varied, practical, and collaborative. Typical responsibilities include:

Supporting the Team
  • Providing day‑to‑day administrative support to infrastructure managers and shift technicians.
  • Helping with purchasing, invoicing, expenses, and basic budget tracking.
  • Maintaining team records such as training, holidays, and sickness.
Managing Systems & Tasks
  • Supporting the Help Desk by logging, prioritising, and closing reactive maintenance tasks.
  • Issuing and closing planned maintenance (PPM) tasks using the IWMS system.
  • Keeping engineering manuals, drawings, and compliance records up to date.
Working with Contractors & Compliance
  • Coordinating schedules for third‑party contractors and ensuring planned works are completed.
  • Maintaining records for statutory testing, certifications, and property logbooks.
  • Supporting contract administration and ensuring suppliers meet agreed standards.
Reporting & Coordination
  • Producing simple monthly reports on budgets, KPIs, and service performance.
  • Organising meetings, preparing agendas, and taking notes when required.
  • Supporting business continuity records, security vetting, access requests, and health & safety documentation.

You won't be expected to do all of this at once, priorities will be managed with support from the team.

What We're Looking For

We're looking for someone organised, calm, and comfortable working in a busy environment. Specifically:

Minimum Criteria
  • Experience in an administrative role, ideally within engineering, facilities, or property.
  • Confidence using Microsoft Outlook, Word, Excel, and PowerPoint.
Essential Criteria
  • Clear written and verbal communication skills.
  • Good organisation and time management skills, with the ability to prioritise tasks.
Desirable Criteria
  • Experience using maintenance or facilities systems (such as CAFM/IWMS).
  • IOSH "Working Safely" or "Operating Safely" qualification (or willingness to obtain).
  • Experience working with contractors or compliance documentation.
  • A qualification in Business & Administration (or equivalent experience).

Security clearance (SC) will be provided as part of the role which the Bank will organise.
