The Bid Coordinator will actively work within the Preconstruction Team on Invitations to Tender (ITTs) and development of bids through the production of high quality PQQs, Tender Submissions and bid documents that are tailored to suit the specific requirements of the tender. The role supports the Team in various administrative and coordination responsibilities.
Key Responsibilities- Document control of tenders
- Creating the Received register
- Comparison against SWI
- Issuing to internal departments for review
- Maintaining tender folders, documents & electronic filing
- Reviewing ITT information to understand, identify and manage actions for the tender process
- Overall coordination of tender process from receipt to submission, post-tender and handover
- Writing, checking, reviewing (including spelling & grammar), formatting and submitting tender responses/documents
- Coordination of NDA procedures
- Collation of tender documents and client feedback
- Ensuring coordination between the Preconstruction Team and other departments to ensure deadlines are met
- Arranging, preparing, minuting and assigning actions for meetings
- Completion of Deliverables Checklists, management and reporting against progress
- Use of client EDMS/portals for receipt and submission of information, including tenders
- Assisting with and completing PQQs
- Assisting with the completion of B2B marketing material, such as CVs, capability documents
- Producing presentations and reports
- Use and maintenance of the CRM database
- Maintaining the model question & answer library
- Covering the shared team mailbox in the absence of other team members
- Assisting with diary management in the absence of other team members
- Assisting with other general reporting
