SummaryThe Office Administrator role at Media Arts Lab is a fun and exciting opportunity to work within a friendly and creative office. The Office Administrator will be reporting into the Office Manager and part of the wider Office Services team. We are looking for someone who has a friendly demeanour, strong organisational skills, hands‑on and an eagerness to assist colleagues and visitors, as well as ensuring the reception runs smoothly and effectively.
TheWork
- Manage reception welcoming staff, clients and visitors while ensuring security protocol are met
- Answer emails, handle deliveries and mail
- Monitor security systems and report any concerns
- Oversee and coordinate staff travel including researching and booking arrangements, raising POs, setting up traveller profiles, performing risk assessments, and ensuring seamless communication between travellers and travel providers
- Manage meeting room bookings and ensure rooms are fully set up for client meetings and interviews
- Process invoices, log credit card receipts, and submit expenses in a timely manner
- Order office and kitchen supplies and book couriers with Finance approval
- Work autonomously, take ownership of the reception area and proactively identify improvement to office processes
- Previous experience in a similar reception or office support role
- Strong organisational, research, travel coordination & booking, and time‑management skills
- Professional, proactive and comfortable working independently
- Excellent communication skills and attention to detail
