About the Role

We are looking for an exceptional Executive Assistant to support our Co-Founder & COO and become a true extension of them in the business.

This is not a traditional EA role focused purely on diary management and admin support. We are looking for someone who can grow into a genuine right hand — someone who brings structure to a fast-moving environment, protects executive focus, stays several steps ahead, and progressively takes ownership of a meaningful portion of the COO’s workload.

The right person will be highly organised, commercially sharp, calm under pressure, and able to operate with excellent judgement and discretion. Over time, this person should be able to absorb workflows, manage priorities on behalf of the COO, and become a critical force in helping the business run more effectively.

For the right candidate, this role offers the opportunity to go far beyond traditional executive support and become an indispensable operator inside a high-growth media and events business.

What You’ll Do Executive Support
  • Own calendar management, inbox triage, meeting planning, travel, and day-to-day priorities with precision
  • Act as a gatekeeper and filter, ensuring the COO is focused on the highest-value work
  • Prepare briefs, agendas, meeting notes, follow-ups, and action trackers
  • Draft emails, messages, presentations, and documents on behalf of the COO
  • Make sure deadlines, commitments, and key deliverables never slip
Operational Leverage
  • Learn the COO’s workflows, priorities, and decision-making style so you can proactively take work off their plate
  • Coordinate across internal teams, partners, clients, and stakeholders to keep projects moving
  • Take ownership of recurring processes and responsibilities that no longer need direct COO involvement
  • Build systems, templates, trackers, and rhythms that improve visibility and execution across the business
  • Turn conversations and requests into clear next steps, owners, and timelines
Strategic Support
  • Anticipate problems, bottlenecks, and scheduling conflicts before they arise
  • Support research, planning, and cross-functional follow-through
  • Keep the COO fully prepared for important meetings, live events, travel, and external engagements
  • Help track business priorities and ensure momentum is maintained across multiple moving parts
What Success Looks Like

In the first few months, success in this role means quickly embedding yourself into how the COO works, understanding the business, and creating immediate leverage through stronger organisation, sharper communication, and excellent follow-through.

Over time, success means becoming indispensable — the person the COO trusts to handle complexity, protect momentum, and take real ownership. The ambition for this role is clear: to become a genuine right hand who can take on a significant amount of the COO’s day-to-day workload and materially increase their capacity.
