Position: Receptionist - 2 months Fixed Term Contract

8:30 am - 4:30 pm, 10 am - 6 pm (shift pattern) 35 hours per week.

Overview

At Zaha Hadid Architects, we are seeking a receptionist to join our London team on a 2-month Fixed Term Contract.

The purpose of the role is to provide a first‑class front of house service, whilst assisting with various administrative duties. As our receptionist, you will work closely with Housekeeping, Facilities, and Project Admin teams.

Main Responsibilities
  • Answer and direct incoming phone calls, relaying succinct and accurate messages as appropriate.
  • To meet and greet all visitors and guests, making them feel welcome.
  • Work closely with the Hospitality Manager to assist with meeting room bookings and housekeeping requests.
  • To book and conduct office CPDs, private and public tours.
  • To assist the hospitality team with catering orders and meeting room requests.
  • To book meeting rooms in the company calendar, making sure all requests will be met.
  • To ensure telephone lists are updated regularly / as employees move around the studio.
  • To log all incoming registered and couriered post.
  • To book all cars and couriers over the phone and online.
  • To be responsible for managing all out of hours international couriers, making sure collections are made.
  • To email and file faxes/documents.
  • To undertake ad hoc duties as and when required.
  • To assist in making and serving refreshments if required.
  • To service meetings as and when required and if housekeeping needs help.
  • To assist with office and gallery events as and when needed.
  • To assist other departments with ad hoc administrative duties.
  • To ensure the presentation of the gallery space and reception area to a high standard, including turning on the light settings, updating the screen content, speaker volume, tidy arrangement of furniture, contributing to the cleaning log, signage, arrangement of leaflets, books, and accessories.
Skills Required
  • Exceptional communication skills, written and oral.
  • Exceptional etiquette including phone manner and empathy in dealing with clients and staff from all cultural backgrounds.
  • Confidence and ability to represent the Practice appropriately in both manner and personal appearance.
  • Reliable and punctual with exemplary time management skills.
  • Organised and calm in a highly pressured environment.
  • Diplomatic and confidential.
  • Precise and detail‑oriented.
  • Well‑rounded people management skills.
