We are seeking a highly organised and trustworthy Executive Assistant to the COO to support the day-to-day operations of a senior executive within a residential development environment. This is a pivotal role requiring exceptional attention to detail, discretion, and the ability to manage complex schedules and communications with confidence.
The successful candidate will act as a true right-hand support, ensuring the COO's time is used effectively while maintaining the highest standards of professionalism and integrity.
Key Responsibilities- Full diary management for the COO, including scheduling meetings, site visits, travel and priorities
- Comprehensive inbox management, drafting responses and handling correspondence on behalf of the COO
- Acting as a gatekeeper, managing access and communications with internal and external stakeholders
- Coordinating meetings, preparing agendas, papers and follow-up actions
- Managing confidential and sensitive information with absolute discretion
- Liaising with senior leadership, consultants, contractors and external partners
- Supporting operational projects and assisting with ad hoc tasks as required
- Ensuring deadlines, commitments and actions are tracked and delivered
- Maintaining organised digital and physical filing systems
- Proven experience as an Executive Assistant or Personal Assistant supporting senior leadership
- Exceptional diary and inbox management skills in a fast‑paced environment
- Strong organisational and time management abilities
- High level of integrity, professionalism and confidentiality
- Excellent written and verbal communication skills
- Ability to anticipate needs and proactively solve problems
- Confidence working independently and using sound judgement
- Experience with in property, construction or residential development is advantageous
- Trustworthy, discreet and reliable
- Calm under pressure with the ability to manage competing priorities
- Detail‑oriented with a proactive mindset
- Strong sense of ownership and accountability
