Overview
Applications are invited for an Administrator to join the Centre for Active Lifestyle (CALM) service at University Hospital Lewisham. The post is a part‑time role (0.4 wte) based on Mondays and Tuesdays. Candidates must have experience working with NHS health care systems.
Responsibilities- Provide comprehensive administrative and secretarial support to the CALM team.
- Book patient appointments on iCare and enter appointment data on the hospital appointment system.
- Maintain the CALM diary, Excel database and ensure high data accuracy.
- Prepare and collate data for standard reports, minutes of meetings and other team documentation.
- Manage patient files, mail and stationery stock control in line with GDPR and Trust policies.
- Deal with telephone, face‑to‑face and email enquiries, including booking interpreters and transport where appropriate.
- Assist in training new staff and updating knowledge of the hospital computer system.
- Deliver a high quality secretarial and administrative service ensuring patient care efficiency.
- Act as the first point of contact for patients and other staff, ensuring timely communication.
- Maintain patient confidentiality and data protection at all times.
- Prepare accurate diary management and data entry for the CALM database.
- NVQ Level II in Business Administration or equivalent.
- GCSE English Language or equivalent.
- Certificate in Office (or equivalent) and ICare training.
- Good computer literacy – Word, Excel, PowerPoint.
- Minimum 2 years as a Medical Secretary or senior Personal Assistant.
- Experience working with the hospital computer system and data entry.
- Previous experience in a multi‑professional healthcare setting and, where possible, a mental health setting.
- Excellent organisational and administration skills.
- Effective communication and customer care skills.
- Ability to prioritise a busy workload.
- Basic understanding of data protection issues.
- Knowledge of child and adult protection issues.
- Team player with good customer care skills.
- Able to work to tight deadlines and within available resources.
- Willing to work outside normal hours on occasion if necessary.
